Milber Makris Plousadis & Seiden, LLP, a full-service civil litigation defense firm and business partner to the insurance industry, is seeking a legal assistant with prior law office experience to assist attorneys in all phases of litigation. This role is based in our Roseland, NJ office and requires four days a week in office and one day remote, following a minimum of six weeks in-office training. Candidates must be eager to learn, organized and able to multitask in a fast-paced environment. Experience in insurance defense litigation is a plus but not mandatory. Experience Requirements: • 3+ years’ prior legal assistant experience in a law office, • Computer proficiency in MS Word, Outlook, Excel & Adobe Acrobat, • Highly proficient in typing with excellent grammatical accuracy, • Exceptional verbal and written communication, knowledge and understanding of legal terminology and procedures, • Skilled in preparing, reviewing, and finalizing legal documents with meticulous attention to accuracy, formatting, and compliance with filing and service procedures, • Proficiency with electronic filings in the State and Federal Courts Primary job duties include but are not limited to the following: • Operate phone system to screen, prioritize, and route calls., • Scan, sort and distribute incoming mail in-office and electronically., • Assist with opening and closing of files., • Maintain and update service lists., • Draft correspondence, legal documents including pleadings (answers, deposition notices, orders, certifications to change track), and discovery demands., • Proficiency editing legal documents and ensuring accuracy. Finalize and serve legal documents including pleadings, discovery documents, notices, stipulations, briefs, motions, affidavits, RJI's, etc., • Preparation of reports for insurance carriers., • Assist with document productions and redactions., • Assist with preparation of witness/exhibit lists and trial binders., • Assist with retention of expert witnesses, preparation of expert indexes, production of records., • Preparation of mediation binders., • Communicate with clients and coordinate with support services, opposing law firms and courts to confirm appearances., • FOIA/OPRA Requests., • E-filing & E-Service (NJ eCourts, NYSCEF and NJ District Court)., • Case management and calendar management for assigned caseload, • Organizing and maintaining case files, including electronic files and document management systems., • Entering and managing information in databases and spreadsheets., • Updating attorney case lists., • Scanning and processing incoming authorizations directly from providers and through outside vendors., • Navigate websites for processing of medical records through required portals., • Maintain records chart tracking incoming and outstanding records and maintaining notes., • Assist vendor department with tracking invoices. Maintain spreadsheet of vendor invoices., • Receipt and organization of incoming supplies., • Additional administrative duties. Summary As a Legal Assistant, you will support attorneys in managing case files and ensuring the smooth operation of the law office. Your core skills in litigation, document review, and legal administrative tasks will be essential for preparing legal documents and maintaining case management systems. Proficiency in Microsoft Office, particularly Word and Excel, will aid in your daily responsibilities. With your attention to detail and organizational skills, you will contribute significantly to the efficiency of the legal team and the overall success of our practice.
