Job Description Position: Administrative Assistant for Contracts and Credentialing [1378] Program: Amarillo, Texas – Financial Services Administration Salary: $38,500.80 Annually Shift available: Full-time Essential duties and responsibilities: • Staff will maintain ethical and professional communications at all times using respectful Trauma-Informed Care language, • Process background clearances for contractors and volunteers., • Maintains Excel database for all provider contracts. Maintenance includes tracking and collection of all required contractor documentation on a regular basis., • Preparing letters and contract packets for contractors to sign and return (electronically and/or paper). Once the contract is fully executed, it is scanned (if not executed electronically), added to the contractor’s database, and electronic copies sent to appropriate Senior Leadership and Accounts Payable. Additionally, contract documents are filed in a timely manner and in the established file order., • Responsible for weekly reporting of HHSC contract requirements to Senior Leadership Team. Will develop a strong understanding of the HHSC requirements. Should also be prepared to submit and analyze data sent to HHSC., • Serves as Secretary of the Credentialing Committee, which includes attending meetings, preparing files for credentialing, and taking minutes, • Updates credentialing applications and files along with the contracts. Prepares and maintains correspondence, reports, forms, and memos, • Participates in the development and provision of provider education/technical assistance standards, contract requirements, rules, etc. in order to ensure providers are adequately assisted in the provision of duties in their contract, • Serves as contact for all assigned contracts and as liaison between contractors and Center department contract administrators, • Maintains database of current and potential providers by using a desktop in order to ensure accurate information is kept regarding current and potential providers, • Maintains contract files and database of all Center contractors, • Responsible for primary source verification for initial credentialing and re-credentialing renewals, according to Center policies and procedures. Ensures that criminal history clearances are performed on external providers., • Serves as facility coordinator with TPC’s insurance contractor and maintains data base for all assets insured by contractor. Responsible for submitting insurance claims and coordinating vehicle utilization, claims recovery, and accident documentation., • Under the direction of the Contracts Manager, prepares contracts and amendments for execution, • Responsible for third party billing and receipt of revenue generating contracts, • Prepares various reports in support of multiple programs, • Serves as backup for monthly audits and semi-annual audits for COS grant, • May be responsible for providing presentations to both internal and external boards and committees from time to time, • Attends training as required by agency standards, • Submit all data, time sheets, travel requests, leave requests, purchase requisitions, and special reports to administration, in accordance with agency procedures and within the time frame specified, • Perform other essential functions and tasks necessary to carry out the purposes of the position, • High school diploma or GED, • One semester (12 credit hours) of accredited college work; or minimum of eighth grade reading comprehension level as evidenced by score on the Adult Basic Learning Examination (ABLE) test, • Strong overall knowledge of the operations of a community center with at least one (1) year relevant work experience, • Computer knowledge, organizational, and basic clerical skills, • Proficient computer skills, which include Microsoft Word and Excel, • Ability to review and analyze data, • Willingness to learn and take on additional tasks as necessary, • Excellent written and verbal communications skill, • Ability to read, analyze, interpret, and discuss complex legal documents, general business periodicals, professional journals, technical procedures, or governmental regulations, • Ability to write reports, business correspondence, and procedure manuals, • Ability to effectively present information and respond to questions from staff, top management, public groups, and/or board of directors, • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, • Ability to compute rate, ratio, and percent and to create and interpret bar graphs, • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists, • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form, • Must have a valid Texas driver’s license and be insurable under agency vehicle policy, • Previous experience with managing contracts, • Ability to learn new technologies quickly and thoroughly while effectively communicating technical information to non-technical personnel, • Ability to prioritize tasks in a high-paced environment, • Ability to apply advanced problem-solving capabilities to troubleshoot issues in an efficient manner, • Ability to effectively interpret data using programs such as Microsoft Excel and to generate reports to provide insight into complex matters, • Click here for TPC’s FY2026 Summary of Benefits, • Robust benefit offerings – Medical, Urgent Care visits for a low $10 co-pay, Dental, and Vision, • Employer paid life insurance (1.5 times employee’s salary), • Staff automatically enrolled into a 457 Retirement Account at 1% of their annual salary.
