Role overview: For our Paris office, we are seeking a highly organized and proactive Gallery Relations Associate to join the Gallery Relations team in preparation for Art Basel Paris, taking place from 23–25 October 2026 at the Grand Palais. The Gallery Relations team serves as the primary liaison between Art Basel and participating galleries, ensuring a seamless exhibitor experience throughout the planning, installation, and operational phases of the fair. Contract Duration: July 1, 2026 – November 30, 2026 Key Responsibilities: Gallery Coordination & Exhibitor Support • Act as a primary point of contact for participating galleries, providing day-to-day guidance and support on operational and logistical matters., • Build and maintain strong working relationships with exhibitors throughout the preparation and execution of the fair., • Coordinate the distribution and follow-up of booth sketches and related documentation. Exhibitor Communications • Support the preparation, updating, and distribution of the Exhibitor Guide, including information related to technical requirements, logistics, access procedures, badges, VIP services, invoicing, and exhibitor communications., • Assist in planning and implementing gallery communications, ensuring timely and accurate dissemination of information. Project & Operational Coordination • Monitor invoicing processes in collaboration with internal stakeholders., • Collect, review, and track booth plans submitted by galleries, ensuring compliance with fair regulations and deadlines., • Serve as the liaison between galleries and the general contractor regarding booth construction, technical requirements, and installation schedules., • Coordinate technical plans, service orders, and cost estimates with galleries and external service providers. On-Site Fair Operations • Welcome and support galleries during installation and throughout the fair., • Provide operational assistance and technical follow-up for exhibitor booths., • Maintain a continuous presence at the Exhibitor Desk, ensuring a high level of service and responsiveness to gallery needs., • Collaborate closely with internal teams, contractors, and service providers to ensure smooth fair operations. Additional Support • Depending on operational needs, contribute to the coordination of the Public Program in collaboration with participating galleries and partner institutions. Your Profile: • Master's degree or equivalent qualification in Arts Administration, Cultural Management, Business, Communications, or a related field., • Strong interest in modern and contemporary art., • Good understanding of the gallery ecosystem and contemporary art market., • Excellent organizational and project coordination skills., • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment., • Service-oriented mindset with excellent interpersonal and communication skills., • Proficiency in Microsoft Office Suite., • Fluent in both French and English (written and spoken); additional languages are a plus.
