Logistics Coordinator - (Temporary Contract – 6 Months) The Logistics Coordinator is responsible for managing and coordinating all fair-side logistics operations in collaboration with Art Basel teams, RMN intendants and suppliers, and external partners. The role ensures the smooth planning and execution of move-in, show days, and move-out activities, with a strong focus on Art Fair Handling (AFH), supplier coordination, and on-site operational support. This position acts as a central coordination hub, ensuring all logistical processes are clearly communicated, properly scheduled, and executed in line with Art Basel standards and RMN regulations. The role requires a high level of responsiveness, organization, and hands-on support on site. Your Responsibilities: Art Freight Handling (AFH) Management • Update the AFH manual and delivery regulations and share them with Art Freight Handlers., • Distribute documentation and collect required confirmations from galleries., • Coordinate and manage slot requests for move-in, rehanging, and move-out., • Support phasing development together with relevant stakeholders., • Manage high-volume communication via dedicated inboxes, calls, and messaging., • Oversee operational elements such as exit labels and lifting processes (Scalès)., • Coordinate emergency procedures with AFH stakeholders. Supplier Coordination (RMN & Fair Operations) • Coordinate key suppliers including catering, IT, and lift operators., • Support operational planning in collaboration with the Senior Operations Manager., • Lead daily briefings and monitor supplier performance., • Manage additional operational requests linked to events and exhibitors., • Coordinate logistics such as access, storage areas, and loading schedules., • Handle PO creation and follow-up on quotes and invoicing. On-Site Operations & Floor Management • Coordinate and support floor operations during move-in, show days, and move-out., • Coordinate handler teams, including planning, task allocation, and supervision., • Support operational needs such as furniture placement, storage, water distribution, and event setups., • Ensure smooth day-to-day logistics execution across all fair activities. Program & Event Support • Support public program logistics., • Assist with artwork delivery and installation logistics., • Coordinate operational zones such as food court installations and shared spaces. Planning, Compliance & Coordination • Maintain supplier lists and ensure compliance with site regulations., • Support safety planning, including medical setup and worker safety coordination., • Facilitate coordination with other organizers where relevant. Your Profile: • Bachelor’s degree or equivalent in logistics, event management, operations, or a related field., • 5+ years of experience in logistics coordination., • Proven experience in exhibition, event logistics, or venue operations., • Strong communication and stakeholder coordination skills., • Excellent organizational skills with the ability to manage multiple priorities., • Proficiency in Microsoft Office., • Ability to problem-solve in fast-paced, on-site environments., • Experience coordinating suppliers or service providers., • Familiarity with planning and scheduling processes., • Basic technical understanding of event infrastructure., • Proactive, hands-on, and detail-oriented approach., • Ability to work collaboratively with internal and external stakeholders., • Reliable and responsive under pressure., • Fluency in French and English.
