Job DescriptionDescription: JOB SUMMARY The Facility Projects Coordinator is primarily responsible for engaging, coordinating, and overseeing third-party contractors and vendors supporting maintenance, repair, upgrade, and construction work at Fee Brothers’ 30,000-square-foot facility. The core focus of this role is outsourcing and managing facility-related work end to end, including defining scope, obtaining and evaluating quotes, scheduling work, coordinating access, monitoring progress, and ensuring work is completed correctly, safely, and to specification. This role requires hands-on experience working with contractors and service providers, as well as a broad, practical understanding of facility and construction work. The Facility Projects Coordinator must be able to evaluate workmanship and materials, recognize when work is being done properly, and identify issues across a wide range of facility and construction projects, spanning building systems, infrastructure, utilities, equipment installations, and structural or layout modifications. The role must understand what “good work” looks like and be able to ask informed questions, catch problems, and ensure standards are met across multiple concurrent projects. In addition, the Facility Projects Coordinator serves as the primary internal point of contact for day-to-day IT needs, working with the Company’s IT vendor to coordinate user support and technology projects. The role also provides occasional support for company events by working with venues and vendors. BENEFITS This position is eligible for a range of employee benefits, including: • 80 hours of paid time off per year, increasing to 120 hours after one year, • 19.5 days of paid holidays per year (based on 2026 calendar; dependent on year), • Company-subsidized health insurance for individuals or families, • Company-funded HRA: $2,000 for individual coverage or $4,000 for family coverage to offset or cover deductible costs of an elected Company-sponsored health insurance plan, • Participation in the Company’s annual profit-sharing plan, • Company contributions to a 401(k) program after one year of employment, • $10 cell phone reimbursement per weekly pay period to support business communication needs, • 100% Company-funded legal insurance, ensuring employees have access to legal counsel, • 100% Company-funded enrollment in a comprehensive Employee Assistance Program, providing employees with essential support for personal and professional challenges, • 100% Company-funded dental and vision insurance, • 100% Company-funded supplemental short-term and long-term disability insurance, group life insurance, and AD&D insurance The Facility Projects Coordinator is responsible for a variety of essential tasks, which include the following: Individual Contribution & Development • Plan and coordinate all facility maintenance, repair, and construction projects from start to finish., • Obtain and compare quotes, track project progress and costs, and follow up with contractors on outstanding issues, deliverables, and cost-effective outcomes in coordination with management., • Monitor building systems, equipment, and services to ensure functionality, compliance, and preventative maintenance, and proactively identify and recommend maintenance, repair, or improvement needs based on observations and operational priorities., • Organize, communicate with, and manage multiple contractors and vendors concurrently to ensure timely and cost-effective completion of work., • Support employees with IT troubleshooting needs and coordinate issue resolution, system upgrades, and user support with the external IT service provider., • Assist in coordinating internal technology projects and initiatives, including company-wide rollout planning, scheduling, documentation, and employee communication or training support., • Coordinate facility services and projects to ensure compliance with requirements and standards related to fire code, first aid, safety, GMP, and SQF certification. EDUCATION & EXPERIENCE The ideal Facility Projects Coordinator has the following qualifications: • Associate’s or Bachelor’s degree in facilities management, business administration, information technology, or a related field, or an equivalent combination of related work experience, training, and/or education sufficient to successfully perform the essential duties of the job., • Three to five years of experience coordinating facilities, maintenance, or construction projects, including direct work with multiple contractors and vendors., • Proven background in providing IT support and/or coordinating with IT service providers., • Demonstrated success in organizing, scheduling, and tracking multiple concurrent projects to completion., • Experience supporting compliance with OSHA regulations, fire code requirements, and workplace safety or first aid standards., • Experience supporting event coordination, including working with catering, venue, or other external service providers., • Prior experience in a manufacturing, warehouse, or production environment preferred. KNOWLEDGE, SKILLS, & ABILITIES The ideal Facility Projects Coordinator has the following knowledge, skills, and abilities: • Project Organization & Tracking: Strong ability to organize, schedule, and monitor multiple projects simultaneously while maintaining timelines, quality standards, and accountability., • Vendor & Contractor Coordination: Ability to source, communicate with, and manage multiple contractors and service providers across concurrent projects., • Facilities Operations Knowledge: Understanding of facilities maintenance, repair, construction, and installation activities, with the ability to coordinate projects from planning through completion., • Attention to Detail & Reliability: High level of accuracy, consistency, and dependability in managing projects, documentation, and compliance-related tasks., • Communication Skills: Clear, professional written and verbal communication skills when working with contractors, vendors, and internal teams., • Regulatory & Safety Awareness: Working knowledge of OSHA regulations, fire code requirements, and workplace safety or first aid standards, with the ability to support compliance through planning and oversight., • IT Coordination & User Support: Ability to serve as a liaison with external IT service providers, communicate technical needs clearly, and support employees with routine technology issues., • Organizational Skills: Strong organizational habits, including prioritization, recordkeeping, and consistent follow-through on commitments., • Problem-Solving Ability: Proactive approach to identifying issues, adapting to changing needs, and recommending practical solutions., • Technical Literacy: Comfort using Microsoft 365 tools, including Outlook, SharePoint, and OneDrive, and ability to learn and adapt to business systems and digital platforms.
