Job DescriptionPosition Summary The Medical Receptionist serves as the first point of contact for patients in a busy primary care and multi-specialty outpatient practice. This role is responsible for delivering excellent customer service, managing patient check-in and check-out, scheduling appointments, and accurately maintaining patient information within the Epic electronic health record (EHR) system. Key Responsibilities Patient Interaction & Customer Service * Greet patients and visitors in a professional, courteous, and compassionate manner * Answer multi-line phones, respond to inquiries, and route calls appropriately * Assist patients with questions related to appointments, forms, and office procedures * Maintain patient confidentiality and comply with HIPAA regulations at all times Front Desk Operations * Check patients in and out efficiently and accurately * Verify patient demographics, insurance information, and photo identification * Collect copayments, balances, and other payments as required * Scan and upload documents into Epic (insurance cards, referrals, consent forms) Scheduling & Coordination * Schedule, reschedule, and cancel appointments for primary care and specialty providers using Epic * Coordinate referrals, follow-up visits, and diagnostic appointments as needed * Monitor provider schedules and communicate delays or changes to patients Electronic Health Record (Epic) Management * Register new patients and update existing patient records in Epic * Enter and verify insurance information and referral requirements * Document patient communications and appointment details accurately * Follow Epic workflows and organizational policies to ensure data accuracy Administrative Support * Maintain a clean, organized, and welcoming front desk area * Assist with prior authorizations, referrals, or medical records requests as assigned * Collaborate with clinical staff, billing, and management to ensure smooth patient flow * Perform additional clerical duties as needed Required Qualifications * High school diploma or equivalent * Previous experience in a medical office or healthcare setting preferred * Familiarity with electronic health records (Epic experience strongly preferred) * Knowledge of medical terminology and insurance basics * Strong customer service and communication skills * Ability to multitask in a fast-paced environment * Proficiency with computers, phones, and office equipment For California Applicants: We will consider for employment all qualified Applicants, including those with criminal histories, in a manner consistent with the requirements of applicable federal, state and local laws, including the City of Los Angeles' Fair Chance Initiative for Hiring Ordinance (FCIHO), Los Angeles Fair Chance Ordinance for Employers (ULAC), The San Francisco Fair Chance Ordinance (FCO) , and the California Fair Chance Act (CFCA).
