Job Description BNL Health Inc is a board-certified migraine specialists & neurologists committed to providing excellent neurological care to the community. We are looking for an Office Manager to join our team! Candidate MUST have Management Experience The Office Manager oversees the workflow and the quality of the performance of the Medical Assistant staff. In general, the Office Manager is responsible for the quality, efficiency, training, employee and patient satisfaction. The Office Manager will enforce rules, regulations, policies, procedures and guidelines as they pertain to the staff and workflow in the front and back office. The Office Manager is responsible for conflict resolution and the training of the Staff under his/her supervision, and as such, must understand and monitor all aspects of the job responsibilities and workflow - continuously assessing the performance and competency of the Staff. The Office Manager serves as a leader and role model for the staff and acts as liaison to the organization for communication, coordinating meetings, scheduling training, and keeping the Staff informed about changes affecting the department, and helping to insure department efficiency. The Office Manager has the experience and the ability to demonstrate excellent customer service and demonstrates the ability to communicate effectively and professionally. The position requires a high level of initiative, attention to detail and the ability to follow-through on assignments independently to completion. The Office Manager must demonstrate the ability to handle multiple, competing and varied tasks, manage the flow of work, and prioritize assignments/patients as needed. The Office Manager must have the ability to represent the Clinic in a very professional manner to the public and within the organization and with individuals at all levels of authority. The Office Manager must have the ability to handle personnel issues with confidentiality, tact and sensitivity. The Office Manager is able to perform all functions of a Medical Assistant. Skills/Qualifications: Must have at least 5 yrs of management experience in the medical field. Must have certification in Medical Assistant or equivalent. Strong verbal and written communication skills, strong organizational and interpersonal skills, professionalism at all times, patient focus, confidentiality, bedside manner, medical teamwork. Responsibilities/Duties: • Train and supervise Medical Assistants (MA's) in order to ensure effective and efficient patient care is being provided., • Evaluating MA performance., • To ensure all performance measures are met, which include, but are not limited to clinical quality measures, provider productivity and resource management., • To provide clinical and administrative supervision to the clinical care team personnel in the clinic, including medical assistants (MAs), care coordinators, externs, and phlebotomists., • Ensuring all employees adhere to the AIDET model of service with the expectation that every employee provides exceptional service every time., • Monitors completion of individual MA’s tasks., • Assigns and monitors ongoing trainings and compliance initiatives in conjunction with Management., • Develops MA work schedules. Insures adequate medical assistant coverage, adjusts staffing and workload to ensure completed team tasks., • Acts as a liaison between back office and other staff members, responding to questions, requests, and assistance. Serves as the expert and primary resource for all areas of responsibility., • Reports “crisis” situations to Operations Manager as necessary or to other management as appropriate., • Insures Medical Assistants have sterilized equipment, have rooms stocked, cleaned, and ready for each scheduled procedure. Continuously assessing the quality and competency of the work of MA staff., • Assists in payroll review, as assigned by Management., • Assists in quality improvement processes, and policy and procedure development, as assigned by Management., • Stay current on the technical aspects, rules, regulations of the office policies, and procedures as they pertain to the areas of responsibility., • Functions in the capacity of a medical assistant, when needed. Manages provider follow up requests., • Coordinating staff and physician schedules, • Monitoring the performance of employees and the facility, • Ensuring compliance and achievement of departmental goals, • Providing leadership, • Maintaining a seamless work environment, • Ensuring regulatory compliance, • Healthcare team support, • Manages the day-to-day workflow of clinical staff., • Perform administrative and certain clinical duties under the direction of physicians and managers., • Administrative duties may include scheduling appointments, • Billing, and coding for insurance purposes., • Clinical duties may include taking and recording vital signs and medical histories, • Must be able to demonstrate a working knowledge of computers, fax, phone and other office machines., • Must have excellent communication skills, be able to cope with mental and emotional stress related to the position, function independently, and have flexibility and personal integrity., • Employee must demonstrate on an ongoing basis the ability to develop and maintain good working relationships with co-workers., • Must be able to recognize and respond appropriately to urgent/emergent situations per protocols., • Maintains safe, secure, and healthy work environment by establishing and following standards and procedures; complying with legal regulations., • Enhances practice reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments., • Maintain professional appearance and personal conduct at all times., • Attend and participates in staff meetings and in-services as assigned., • Adhere to and support office policies, practices and procedures., • Confirming all insurance coverage and open balances before patient is seen, • Prepare chart notes for provider in EMR system, • Scanning medical records to EMR system, • Check Faxes, • Check Voicemails, • Clean/organize and disinfect all pts exam rooms, • Medication samples inventory, • Botox inventory on excel sheet, • Needles/Syringes, mask, disinfectant wipes, gloves inventory, • In charge to fill out any medical forms, DMV forms, medical letters, • Follow up on unpaid claims, • Room patients, obtain vitals, • Answer multi-line telephone calls and process telephone messages, • Follow prescription refill requests (e-script), • Scheduling, • Check-in/out pts, • Maintain patient records confidentiality Job Types: Full-time Benefits: • 401(k) matching, • Dental insurance, • Health insurance, • Life insurance, • Vision insurance Schedule: • 8 hour shift, • Day shift Ability to commute/relocate: • Los Angeles, CA 90067: Reliably commute or planning to relocate before starting work (Preferred), • Torrance, CA 90505: Reliably commute or planning to relocate before starting work (Preferred) Experience: • EMR systems: 3 year (Preferred), • Vital signs: 3 year (Preferred) License/Certification: • Bachelor's degree in healthcare administration, business administration, or a related field (preferred) Dr. Lisa Cook M.D. has helped thousands of patients overcome chronic migraines, cognitive disorders, symptoms of CTE, seizures, and a wide variety of other neurological disorders.
