Job Description Project Description: The Refugee School Impact Program (RSIP) is a partnership between Journey’s End Refugee Services and the Buffalo Public Schools Multilingual Department and the Buffalo Public Schools Refugee Immigrant Student Welcome Program. The partnership aims to support children and families within the district in adjusting to the local school system and achieving their academic goals. These goals are primarily attained through the role that the program’s Academic Coaches play as a bridge between parents and schools. Job Description: The RSIP Program Assistant will work under the supervision of the RSIP Program Manager. The position provides grants management, administrative and program support to the RSIP program. Responsibilities may also include some direct support of clients within those programs. The Program Assistant must exemplify Journey’s End’s core values in their work. These values include intercultural responsiveness, integrity, person-centered, empowerment, and exemplary service. Primary Responsibilities: • Provide administrative support, including file management and data entry for the RSIP Program, • Assist Program Manager and Grants Managers in completing reporting and vouchering to program funders, compile data for and assist with writing new grant applications, • Maintain and review client files on a regular basis to ensure files are in line with grant requirements, provide feedback and training to Academic Coaches on contract requirements, • Input student information and services into database, • Assist with data tracking and monitoring program progress toward contract goals, • Work with Academic Coaches and Journey’s End staff to complete intakes for new clients, • Serve as the bridge between refugee and immigrant families and the schools providing a wide range of support services to reduce barriers to educational success - including facilitating enrollment, individual or group orientation, problem solving, crisis management, immunization verification, transportation, access to remote schooling, advocacy, homework assistance, and more, • Assist in planning, recruitment, and implementation of mini-academies, summer school, student and parent orientations, field trips and summer camp programs, • Assist parents with school registration and provide guidance in school selection process, special school applications, and the school transfer process, • Prepare and review training and onboarding materials for department new hires, • Experience in an administrative role and fluency in English are required., • Strong written and verbal communication skills and acute attention to detail., • Proficiency in Microsoft Office and ability to navigate online database systems required., • Self-directed and able to work in a team environment, • Ability to be flexible, creative, and willing to collaborate with others
