Job Description Position Overview We are seeking an immediate, high-energy Administrative & Office Assistant who can hit the ground running at our Southern Nassau County headquarters. For the right candidate who demonstrates exceptional organizational skills and strong technical capability, this role offers a direct path to a permanent position.This role is contract to hire. In this role, you will serve as the operational anchor of the office, directly supporting our Principal while managing the day-to-day rhythm of a multifaceted business ecosystem. Key Responsibilities • Executive Support & Calendar Management: Act as the critical link between the office and the field. Manage the Principal’s calendar, anticipate scheduling conflicts, and ensure seamless communication while they are managing external sites., • Frontline Communications: Handle heavy incoming phone lines with professional, crystal-clear communication. Serve as the welcoming, organized face and voice of our entities to clients, subcontractors, and tenants., • Digital & Inbox Organization: Own the Microsoft Outlook 365 environment. Manage high-volume email traffic, prioritize urgent requests, and keep digital files impeccably organized., • Office Coordination: Maintain inventory, order office supplies, and ensure the physical office environment remains professional and efficient., • Systems & Admin Support: Quickly adapt to internal industry systems. Provide general administrative backup, with the opportunity to assist in basic accounting workflows as needed. What We Are Looking For • Industry Context: Experience working within Construction, Real Estate, Property Management, or Architecture environments is highly preferred., • Tech-Savvy & Adaptable: Advanced proficiency in MS Outlook 365 and a natural aptitude for learning new software and internal databases quickly., • Communication & Presence: Exceptional verbal and written communication skills. You are high-energy, enthusiastic, and maintain an approachable yet highly professional demeanor., • The "Air Traffic Controller" Mindset: Exceptional attention to detail. You are a quick learner who can juggle competing priorities without dropping the ball. Office Management experience is a significant plus., • Bonus Points: Basic accounting or bookkeeping exposure.
