Job Description Department: Catering/Events Reports To: Catering Manager/Event Coordinator Job Summary: The Catering Event Assistant Manager plays a key role in the successful execution of catering events by overseeing the setup, breakdown, and maintenance of all event equipment and décor. This position ensures that event spaces are prepared in accordance with client specifications and company standards, delivering a seamless and high-quality guest experience. The ideal candidate is highly detail-oriented, physically capable, and demonstrates strong time management skills. They must be able to work both independently and collaboratively within a team environment. In addition to event execution, responsibilities include managing incoming calls and emails, accurately inputting event orders, and maintaining clear communication with clients. Strong interpersonal skills are essential, as this role involves regular interaction with customers to ensure their needs are met with professionalism and care. Key Responsibilities: * Event Setup: * Interpret event orders, diagrams, and client specifications to accurately set up tables, chairs, linens, dishware, glassware, flatware, and other event equipment. * Arrange food and beverage stations, buffets, bars, and serving areas according to layout plans. * Set up décor elements such as centerpieces, lighting, and signage as directed. * Ensure all equipment is clean, in good working order, and presentable. * Verify that all necessary items are present and accounted for before guest arrival. * Event Breakdown & Cleanup: * Efficiently and carefully dismantle event setups, including tables, chairs, and décor. * Clean and properly store all equipment, linens, and serving items. * Assist with the removal of waste and ensure the event space is left clean and orderly. * Report any damaged or missing equipment to the supervisor. * Equipment Management: * Load and unload catering equipment from vehicles safely and efficiently. * Transport equipment to and from event sites. * Maintain inventory of event equipment and supplies, noting any discrepancies. * Perform routine maintenance and cleaning of equipment to ensure longevity and readiness. * Logistics & Coordination: * Communicate effectively with the Catering Manager, Event Coordinator, and other team members regarding event requirements and changes. * Adhere to event timelines and schedules to ensure timely setup and breakdown. * Troubleshoot minor issues that may arise during setup or breakdown. * Safety & Compliance: * Adhere to all safety regulations and company policies, especially when handling heavy equipment or working in various environments. * Maintain a clean and organized work environment. * Comply with all health and sanitation standards. * Customer Service (Indirect): * While not directly interacting with guests as often, the quality of the setup directly impacts guest satisfaction. Ensure a professional and aesthetically pleasing environment. Qualifications: * Education: High school diploma or equivalent required. * Experience: Previous experience in event setup, catering, hospitality, or a related field preferred. * Physical Requirements: * Ability to lift, carry, push, and pull heavy objects (up to 50 lbs) frequently. * Ability to stand, walk, bend, stoop, and reach for extended periods. * Comfortable working in various indoor and outdoor environments, potentially in varying weather conditions. * Skills: * Strong attention to detail and accuracy. * Excellent organizational and time management skills. * Ability to follow instructions and diagrams precisely. * Reliable and punctual with a strong work ethic. * Ability to work independently and as part of a team. * Problem-solving skills and ability to adapt to changing situations. * Good communication skills. * Other: * Flexibility to work irregular hours, including evenings, weekends, and holidays, based on event schedules. * Valid driver's license and reliable transportation may be required for some positions. The work can be physically demanding and requires flexibility to accommodate varying event schedules.
