ACCOUNTS RECEIVABLES SPECIALIST (COLLECTIONS) As a Accounts Receivables Specialist, you will be responsible for coordinating the client billing process for an assigned group of partners. This role involves ensuring accurate and timely billing, maintaining client records, and providing support to attorneys and staff regarding billing inquiries. QUALIFICATIONS FOR AN ACCOUNTS RECEIVABLES (COLLECTIONS) SPECIALIST The AR/Collections Specialist will provide general, accounting, and clerical support to the finance department. This is an mid-level position that manages the company's outstanding invoices, working with clients directly to ensure all collections are reconciled, settled by due dates, and result in a positive cash flow. a Responsibilities: • Accounts Receivable: Accurately process and record daily financial transactions, including expenses, client costs/disbursements, and payments into specialized legal accounting software., • Collections: Monitor Aging Reports, follow up on discrepancies, and communicate professionally with clients and partners to resolve billing inquiries and secure timely payments., • Trust/Escrow Accounting Support: Assist with managing client trust accounts (also known as IOLTA or escrow accounts), ensuring client funds are strictly segregated from operating funds to maintain compliance with ethical obligations. Resolve old trust account balances and escheat when necessary to the State of NJ., • Reconciliation & Reporting: Perform trust bank reconciliations and assist with the preparation of ad-hoc, monthly or annual financial reports for management and partners., • Provide assistance with reception coverage, • Associate degree or higher preferred, • 3+ years of relevant accounting or finance experience, • Familiar with using expense management software for accurate data entry and reconciliation (Orion, QuickBooks, or similar platforms, or similar tools etc.), • Ability to work under pressure and demonstrate flexibility with competing demands of internal and external sources, as well as the ability to work independently with supervision within a team-oriented environment, • Excellent time management, organizational, and interpersonal skills, • Must be detail-oriented with the ability to readily identify issues that could impede processes while taking the initiative to provide solutions, • Technical proficiency in a range of software, including Microsoft Office, e-billing software, and document management systems, is preferred, • Perform other ad-hoc duties and projects, as needed.
