Job Description Job Description: Job Title: Oral Surgery Front Office Receptionist & Insurance Specialist Reports To: Office Manager Department: Front Office Operations Job Type: Full-Time Pay Range: $18.00 – $23.00 per hour (DOE) The Oral Surgery Front Office Receptionist & Insurance Specialist plays a key role in delivering an excellent patient experience. This position is responsible for greeting and assisting patients, coordinating insurance verification and authorizations, managing financial communication, and supporting efficient office operations. This team member must excel in customer service, thrive in a fast-paced environment, and demonstrate exceptional organizational skills, accuracy, and attention to detail in all administrative duties. In addition, this role includes supporting the office’s marketing and referral outreach to help strengthen relationships with referring practices and assist with the overall growth of the oral surgery practice. Job Duties and Responsibilities: Patient Experience & Front Desk Operations • Provide a friendly, professional first impression for all patients and visitors., • Answer incoming calls promptly and handle scheduling, appointment changes, and inquiries., • Greet and check in patients, verify demographics and relevant documents, and ensure patient privacy at all times., • Collect payments, co-pays, and balances due at check-in or check-out in accordance with office policies., • Maintain a clean, organized, and welcoming reception environment., • Assist with patient check-out, follow-up scheduling, and post-operative communication. Insurance & Financial Coordination • Perform insurance verification for oral surgery procedures, including anesthesia benefits and clinical criteria., • Obtain required prior authorizations and ensure documentation is complete and accurate in the practice software., • Communicate financial estimates clearly and professionally to patients to ensure full understanding of cost and coverage., • Monitor and support resolution of insurance and patient account balances as directed by the billing team., • Maintain accurate records and follow HIPAA-compliant practices for all protected information. Communication & Office Coordination • Coordinate effectively with the surgical team to support efficient patient flow and accurate scheduling., • Respond to calls, messages, and requests in a timely and professional manner., • Assist with maintaining and updating patient records, referral documentation, and internal communications., • Support general administrative tasks and office operations as assigned. Marketing & Referral Support • Assist the Office Manager/Marketing Coordinator with marketing initiatives as requested., • Participate in scheduled marketing visits to referring practices while representing the office with professionalism., • Help prepare, organize, and deliver marketing materials (flyers, brochures, referral pads, promotional items)., • Collect and log business cards, contact information, and notes on each referral office visited., • Support follow-ups such as thank-you notes, updates, and referral-related communication., • Help plan and execute referral outreach campaigns, seasonal promotions, and special events to grow relationships and increase referrals. General Team Responsibilities • Maintain confidentiality and ensure compliance with all HIPAA, OSHA, and practice standards., • Actively contribute to a positive team environment and assist coworkers when needed to support operations., • Participate in team meetings, training sessions, and continuing education., • Perform other duties as assigned to support the smooth and successful function of the practice. Qualifications & Skills: • Bilingual in Spanish and English (both speaking and writing) is required., • Previous experience in a dental or medical office is required., • Oral surgery practice experience is preferred, including familiarity with surgical terminology, anesthesia benefits, and referral workflows., • Strong customer service and professional communication skills., • Ability to multitask, prioritize, and remain organized in a fast-paced clinical environment., • Proficiency with computers and practice management software (Open Dental experience preferred)., • Accurate data entry and strong attention to detail., • Must maintain professionalism, confidentiality, and full compliance with HIPAA and OSHA standards., • Dependable, punctual, and able to work collaboratively with a team and independently when needed., • Willingness to learn new skills, take initiative, and contribute to practice growth.
