Job Description Job Description We are seeking a Sr. Administrative Business Partner to join our team in the Bioanalytical Sciences organization. The ideal candidate will have strong experience in executive-level administrative support, operations, and project coordination, and a proven ability to manage complex calendars, events, communications, and confidential matters across a dynamic portfolio. Responsibilities: • Provide direct administrative support to Directors across BAS Operations, Bioassay, Immunoassay, and Mass Spec, and general support to the BAS team., • Manage complex Google Calendar scheduling across time zones and shared team drives; coordinate with internal and external stakeholders., • Administer and support meetings and events, including town halls and department meetings, covering agendas, materials, logistics, catering, room setup, and AV readiness., • Coordinate technology for meetings using in-room systems, Google Meet, Zoom, video conferences, and global webcasts., • Prepare attendees for participation, including AV connections, telephony, and access details., • Draft and send communications on behalf of leaders and support routine team communications on policies, processes, and reminders., • Recognize employee milestones per department guidelines and coordinate related activities., • Submit and track facilities, IT, and Site Services requests; manage office supplies, print services, shipping, and receiving., • Process purchase orders, invoices, vendor setup and maintenance, and payment tracking., • Maintain distribution lists and departmental sites, including gSites, Currents, websites, and newsletters; coordinate content and upkeep., • Coordinate space moves and logistics with the BAS Business Manager; plan team-building events and workshops., • Maintain awareness of relevant trainings and organize sessions for the team and administrative peers., • Support vendor and speaker engagements, contracts, and payments; arrange conference registrations, travel, lodging, and expense reports., • Edit and enhance presentations and documents as requested; manage departmental document control and off-site storage logistics., • Coordinate candidate interview scheduling, travel, interview-day logistics, and administrative onboarding tasks for new hires, including devices and orientation information., • Assist with CRO visit logistics and internal manuscript peer review processes as needed., • Minimum 10 years of administrative, operations, or project management experience; pharmaceutical or biotechnology experience preferred., • Experience supporting senior leaders with discretion and judgment on confidential matters., • Ability to manage routine and impromptu assignments with minimal supervision; prioritize, multitask, and execute independently while coordinating team workflows., • Collaborative orientation with strong communication; shares information and partners across functions to achieve outcomes., • Demonstrated accuracy and attention to detail; upholds team standards for quality and completeness., • Advanced proficiency with Microsoft PowerPoint, Excel, and Word; Google Workspace tools including Gmail, Google Calendar, Sheets, Slides, Meet; collaboration tools such as Zoom, Trello, and Lucidchart; ability to guide or train others., • Familiarity with Genentech organization preferred., • Background in regulated life sciences environments or Development Sciences support., • Event production experience for large hybrid meetings and webcasts.Company DescriptionAbout BCforward: Founded in 1998 on the idea that industry leaders needed a professional service, and workforce management expert, to fuel the development and execution of core business and technology strategies, BCforward is a Black-owned firm providing unique solutions supporting value capture and digital product delivery needs for organizations around the world.
