Reports to: Manager of Clinical Resources Job Summary: As the face of the Operation Kindness Lifesaving Partnership Hub, the Customer Service Representative is a vital link between the community, partner rescue groups, and our veterinary medical team. Reporting to the Manager of Clinical Resources, you will manage a high-volume front desk, providing exceptional care in person, over the phone, and via digital channels. The Customer Service Representative is responsible for maintaining the flow of wellness, surgery, and foster patients, which includes safely lifting or assisting in lifting pets up to 40 lbs. as needed. While assisting clients through the clinic process and making informed service or product recommendations, the CSR must remain confident, patient, and gentle when handling dogs and cats. This role requires a solid knowledge of animal behavior and the mandatory use of safety equipment to ensure a secure environment for all patients and staff. Key Responsibilities & Essential Functions: Client & Partner Relations: • Provide empathetic and professional care as the primary point of contact for individual pet owners, partner organizations and other clients., • Educate clients on clinic services, including spay/neuter and preventative care., • Coordinate the daily "check-in" and "check-out" process for high-volume surgeries, wellness exams, and rescue transport intakes., • Maintain the database by entering accurate client and patient medical histories and services., • Properly label and dispense medications with veterinary instructions., • Utilize ezyVet to update patient records, manage unpaid invoices, and handle billing triggers accurately., • Assist the wellness technician and medical team as required to ensure patients move efficiently through their procedures., • Language: Bilingual in English and Spanish is strongly preferred., • Experience: 1–2 years in a customer-facing role; veterinary or animal shelter experience is highly preferred., • Technical: Proficiency in Microsoft Office and the ability to navigate Veterinary Practice Management Software (experience with ezyVet is a major plus)., • Animal Handling: Must be confident, patient, and gentle when handling dogs and cats. Knowledge of animal behavior and the mandatory use of safety equipment is required., • Stamina: Ability to stand for extended periods and move quickly in a fast-paced environment., • Lifting: Must be able to safely lift or assist in lifting up to 40 lbs., • Environment: Exposure to high noise levels (barking), animal dander, and cleaning chemicals., • Schedule: Ability to work early mornings and weekends for surgery check-ins; occasional shifts may exceed 8 hours a day or 40 hours a week.
