Job DescriptionLocation: Commerce, CA (Primarily On-site)Schedule: Monday to Friday, 8AM - 5PM Job Summary:Under the direction of the AVP & Chief Curator, the Project Manager for our Art Collection partners with executives, curatorial leaders, and internal/external stakeholders to plan, organize, and execute complex, multi-year art initiatives including exhibitions, conservation projects, museum development activities, art loans, acquisitions, donor engagement events, and public programming. The Project Manager is responsible for building and improving operational processes, coordinating cross-functional execution, managing vendors and contracts, and ensuring alignment with organizational strategy, timelines, and budgets. This role acts as a central hub for communications, logistics, and administrative functions that enable the Art team to scale and institutionalize a world-class arts program. The Art Collection includes over 4,000 works from the 1900s to the present and is recognized for its focus on Chicano and Latino artists. Displayed throughout healthcare and community environments, the collection celebrates cultural identity, promotes representation, and reflects the belief that art plays an important role in healing and community well-being. Minimum Requirements: • Bachelor’s degree in business, arts administration, museum studies, organizational management, or related field required., • Minimum of 5 years of experience managing complex cross-functional projects or programs; experience in arts, cultural institutions, museums, exhibitions, or creative industries strongly preferred., • Minimum of 5 years of experience supporting senior leaders and advising high-visibility initiatives., • Project Management certification required within one year of hire., • Bilingual Spanish preferred. Skills and Abilities:, • Demonstrated project management and organizational leadership skills across multi-stakeholder environments., • Acts as a strategic thought partner to leadership by synthesizing complex information, ideating creative solution pathways, evaluating risks and trade-offs, and supporting decision-making through insightful perspectives and collaborative dialogue., • Ability to facilitate planning, prioritization, scheduling, and execution of long-term initiatives., • Strong consulting, problem-solving, and analytical skills with ability to interpret timelines, budgets, and stakeholder requirements., • Excellent written and verbal communication skills; ability to synthesize information and report to senior leadership., • Demonstrated ability to coordinate external partners, fabricators, consultants, curators, contractors, and vendors., • Ability to collaborate across departments including Legal, Facilities, Finance, Communications, Public Affairs, and Philanthropy., • Experience managing timelines for exhibitions, construction/installation, content development, donor relations, and event logistics preferred., • Proficiency with Microsoft Office, PM software (e.g., Smartsheet, Asana, Monday), and basic budgeting tools.Essential Job Functions:, • Plans, manages, and executes projects in support of the Art Collection roadmap, including exhibitions, installations, acquisitions, curation, digital initiatives, and museum programming., • Coordinates logistics for art transport, crating, conservation, condition reporting, photo digitization, insurance, and installation in partnership with external vendors., • Develops and maintains project schedules, budgets, trackers, and dashboards to ensure deliverables are met on time and within scope., • Facilitates cross-functional collaboration with AltaMed departments to support contract review, fiscal management, facilities planning, public programming, and philanthropic activities., • Supports vendor onboarding, invoicing, purchasing, and financial reconciliation in coordination with Finance., • Supports donor engagement events, stewardship activities, philanthropic initiatives, and museum capital planning., • Develops and documents operating procedures, workflows, templates, and administrative systems to institutionalize the Art Collection., • Manages external consultants, curatorial partners, and contractors to meet project milestones., • Develops materials, presentations, and communications for internal/executive audiences., • Identifies, escalates, and mitigates risks to timelines, budgets, and strategic goals.
