Job DescriptionSalary: $45,000.00/year Full-time (40 hours/week) Primary Location: San Angelo, TX Travel Requirement: No Hours: Monday-Friday, 8:00AM-5:00PM Salary Range: $45,000.00/year FLSA Status: Exempt Company Overview West Texas Counseling & Guidance (WTCG) is a non-profit, 501(c)(3) organization working to ensure that individuals and families seeking mental health treatment should have access to counseling services, regardless of their socioeconomic status and ability to pay. Our mission is to enable individuals and families to reach their full potential in body, mind, and spirit, using evidence-based counseling and educational services. Services offered by WTCG include individual therapy, Cognitive Behavioral Therapy (CBT), Cognitive Processing Therapy (CPT) and Eye Movement Desensitization and Reprocessing (EMDR) for trauma, premarital counseling, couples and family counseling, veteran services, children's play therapy, and anger management. Position Overview The Database & Events Associate plays a key role in supporting the organizations mission by maintaining accurate donor and program data while assisting in the coordination of fundraising and community events. This position requires strong attention to detail, comfort working with numbers, and the ability to manage multiple priorities. The ideal candidate is adaptable, collaborative, and eager to learn in a fast-paced nonprofit environment. Regular and timely attendance is required. Key Responsibilities Database & Data Management • Maintain and update donor and organizational databases, ensuring accuracy, consistency, and confidentiality, • Perform data entry and regular data audits to ensure integrity, • Generate reports and assist with tracking donations, pledges, and engagement metrics Record incoming donations, send acknowledgment letters, and coordinate with accounting to ensure accurate reporting Event Coordination & Support • Assist with planning and execution of fundraising and community events, • Coordinate logistics including scheduling, materials, and vendor communication, • Support event setup, on-site coordination, and breakdown as needed, • Manage event registrations, guest lists, and attendee communications, • Assist with post-event follow-up and reporting Administrative Support • Provide general administrative support including document preparation, filing, and correspondence, • Assist with tracking event budgets, expenses, and related documentation, • Support day-to-day office operations as needed Communication & Relationship Support • Communicate professionally with donors, volunteers, vendors, and internal staff, • Provide responsive and courteous support to stakeholders, • Collaborate across departments to support organizational initiatives General Duties • Adapt to shifting priorities and support various organizational needs, • Demonstrate flexibility and willingness to take on new responsibilities, • Maintain a high level of professionalism, organization, and attention to detail Qualifications • Strong numerical aptitude and high level of accuracy in data management, • Excellent interpersonal and communication skills, with a customer-service mindset, • Highly organized with the ability to manage multiple tasks and deadlines, • Flexible and adaptable, with a willingness to learn new systems and processes, • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); experience with donor databases or CRM systems is a plus, • Previous administrative, data entry, or event coordination experience preferred, • Currently pursuing or recently completed a degree in Communications, English, Business, or a related field, • Must successfully pass a comprehensive background check Knowledge, Skills, and Abilities • Strong attention to detail with the ability to manage and maintain accurate data, • Proficiency in Microsoft Office (especially Excel); experience with CRM or donor databases preferred, • Effective organizational and time management skills, with the ability to handle multiple priorities and meet deadlines, • Strong written and verbal communication skills, with a customer-service-oriented approach, • Ability to work with numbers, track data, and support reporting and basic analysis, • Interpersonal skills to build and maintain positive relationships with donors, volunteers, vendors, and staff, • Ability to maintain confidentiality and handle sensitive information with discretion, • Adaptability and willingness to learn new systems, tools, and processes, • Ability to work both independently and collaboratively in a team environment, • Problem-solving skills and ability to support event coordination from planning through execution Physical Demands & Work Environment • Work is performed primarily in an office environment using standard office equipment., • Prolonged periods of sitting at a desk and working on a computer, • Frequent use of hands and fingers to operate a computer, keyboard, and office equipment, • Occasional standing, walking, bending, and reaching, • Ability to lift and carry up to 25 pounds (e.g., event materials, supplies, or office equipment), • Ability to set up and assist with event materials, which may include moving tables, chairs, or supplies, • Visual ability to read and analyze data on a computer screen and printed materials, • May require occasional local travel for events or meetings, • Ability to work occasional evenings or weekends in support of events Benefits: Paid Holidays Health, Vision, & Dental Insurance Life Insurance AD&D Insurance Paid Time Off (PTO) 403(b) Retirement Plan Options Employee Assistance Program (EAP) Equal Employment Opportunity (EEO) Statement West Texas Counseling & Guidance (WTCG) is an Equal Opportunity Employer.
