Role Description The Concierge is a mission‑critical position and a key contributor to the success of our business. This role serves as both the face and the voice of the organization—welcoming clients in person and assisting clients and prospects by phone. The Concierge represents the company’s image and must consistently embody our Core Values. In addition to reception responsibilities, this role provides essential support to the advisory team and plays an important role in the day-to-day management of the business office and building. Key Responsibilities Reception Desk & Client Experience • Warmly welcome incoming clients and visitors in a professional, courteous manner, • Inquire about scheduled appointments and advisor assignments, • Offer and provide refreshments for clients and guests, • Notify employees promptly of client or guest arrivals, • Manage incoming calls efficiently, following established call-flow procedures, • Assist clients with directions, statements, balance inquiries, scheduling, or appointment coordination Team & Office Support • Receive and distribute deliveries and USPS mail, • Coordinate wholesaler lunches, including ordering and arranging meal delivery, • Manage outbound mailings, including:, • Running monthly reports, • Gathering required signatures, • Hand-addressing envelopes, • Ensuring timely USPS delivery, • Facilitate UPS package deliveries, • Order and maintain inventory of beverages, condiments, and office supplies, • Ensure fresh coffee is available for staff and clients, • Print and bind financial plans as requested by advisory staff, • Support marketing efforts, including mass mailings, • Maintain RSVP lists for special events as needed, • Perform additional administrative and clerical duties as assigned Building & Facility Management • Coordinate with contracted service providers (e.g., cleaning crews, maintenance vendors), • Order and maintain cleaning supplies, • Schedule routine and on-demand maintenance (HVAC, plumbing, lighting, quarterly cleaning, etc.), • Organize end-of-month billing by printing invoices and assigning expense categories, • Maintain cleanliness of common areas between contracted cleanings, including:, • Lobby, • Kitchen, • Conference rooms Qualifications/Education • High school diploma or GED required, • College or university degree a plus Core Competencies • Exceptional professionalism and discretion, • Strong telephone etiquette and client service skills, • Ability to multitask effectively in a fast-paced, high-pressure environment, • Outstanding written and verbal communication skills, • Strong organizational and time-management abilities Technical & Systems Experience (Preferred) • Familiarity with multi-line phone systems, • Microsoft Office (Outlook, Word, Excel), • Salesforce CRM experience Benefits • 401(k) with employer matching, • Health Savings Account (HSA), • Health, dental, and vision insurance, • Life insurance, • Paid time off Work Environment • On-site, professional office environment, • Client-facing, collaborative team setting
