Job Description Job Title: Supply Chain Specialist Job Description The Supply Chain Specialist provides high-quality customer support to internal and external stakeholders by executing departmental objectives and tactical plans that support corporate business growth. This role ensures customer orders are processed accurately, shipped on time and in full, and that service issues and customer concerns are proactively addressed. The Supply Chain Specialist collaborates closely with cross-functional teams to maintain excellent service levels, resolve operational issues, and support continuous improvement within the supply chain. Responsibilities • Manage customer orders for an assigned regional commercial team, ensuring timely and accurate order entry and maintenance while communicating directly with customer buyers., • Perform a daily audit of open orders, including researching and rescheduling orders that remain open from previous days to ensure timely fulfillment., • Review all orders for completeness and accuracy, obtaining necessary information and approvals prior to releasing orders for shipment, including resolving pricing discrepancies and securing approval to ship close-dated cases., • Schedule dock appointments for customer pick-up (CPU) accounts and maintain accurate appointment records within the scheduling application., • Oversee the management of delivered orders in partnership with the in-house Transportation Department to ensure on-time delivery and issue resolution., • Coordinate closely with the Customer Experience Manager, Production Planner, Demand Planner, Warehouse Manager, and Materials Manager to ensure promotional volumes, new distribution centers or stores, and other special product requirements are understood and executed., • Determine when substitutions or delivery date changes are required for order fulfillment based on projected product shortages, and communicate changes clearly to relevant stakeholders., • Build and maintain strong customer relationships while supporting sales personnel in identifying and addressing customer ordering practices that do not align with established service level agreements., • Review aged inventory and discontinued items at company-owned bottling operations and co-packer locations, and support actions to manage or reduce excess and obsolete stock., • Maintain and update requirements in customer vendor systems and portals to ensure accurate item, pricing, and order information., • Review SAP transactions and T-Codes for pricing discrepancies and follow established standard operating procedures to resolve issues., • Collaborate with management and sales/market organizations on IDOC reports to ensure EDI errors are corrected, customer files are updated with new items, and data revisions are communicated to the Customer Experience Manager., • Provide assistance to the Accounts Receivable team with invoice management by helping to resolve short payments, overpayments, and claims, and communicating issues, root causes, and resolutions to internal and external customers in a timely manner., • Manage returns, damage claims, and complaints by identifying root causes, communicating resolutions to affected business partners, assigning action items to appropriate personnel, and ensuring required approvals are obtained., • Ensure the accuracy and completeness of data used in Supply Chain Key Performance Indicators, supporting effective measurement and reporting of performance., • Participate actively in team initiatives focused on continuous improvement, process optimization, and enhanced customer experience., • Work effectively under pressure to meet deadlines, handle multiple priorities, and maintain high service standards in a fast-paced environment., • 1 or more years of supply chain-related experience or relevant schooling., • Experience in business-to-business environments, preferably within manufacturing, order management, or supply chain operations., • Hands-on experience with order management, including purchase orders, order entry, and order tracking., • Working knowledge of SAP, including the ability to review and resolve pricing discrepancies using SAP T-Codes., • Strong customer service skills with the ability to communicate clearly and professionally with internal and external customers., • Experience with inventory-related activities, including reviewing aged inventory and discontinued items., • Proficiency with Microsoft Excel for data entry and working with spreadsheets., • Strong skills in Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook., • Accurate and efficient data entry skills with strong attention to detail., • Ability to work well under pressure and manage multiple tasks and deadlines., • Effective problem resolution skills, including identifying root causes and implementing solutions., • Ability to work independently as a self-directed contributor while also collaborating effectively with cross-functional teams., • Experience in manufacturing environments, especially in purchasing, order entry, or supply chain management, is highly beneficial., • Experience working with EDI-based order flows and resolving EDI-related issues is a plus., • Familiarity with customer vendor systems and portals for maintaining item and pricing data., • Exposure to working with procurement contacts and buyers in a business-to-business setting., • Strong written and verbal communication skills for email and phone interactions with customers and internal partners., • Demonstrated ability to build strong customer relationships and support sales teams in achieving service goals., • Interest in continuous improvement and willingness to participate in team initiatives to enhance processes and performance. This is an onsite role in a cubicle-style office environment with a collaborative team of supply chain professionals. Once converted to a permanent role, there is typically the opportunity to work remotely one day per week, and this flexibility may be available earlier depending on performance and how quickly the individual becomes proficient in the role. The work involves frequent interaction with customers’ procurement contacts, primarily via email with some phone calls, and approximately 85% of orders are processed via EDI with some manual order entry. The environment is relaxed business casual rather than strictly formal, and the team culture includes informal activities such as shared lunches, birthday celebrations, ping pong, and coffee gatherings. Occasional travel may be possible after becoming permanent, with plenty of advance notice, primarily to visit customer locations or production plants; this travel is not frequent and is more focused on relationship-building and gaining operational insight. Standard office technology and systems, including SAP, Microsoft Office, and scheduling and vendor systems, are used daily to support order management and supply chain operations. Job Type & Location This is a Contract to Hire position based out of Tampa, FL. Pay and Benefits The pay range for this position is $25.00 - $25.00/hr.
