    We are a growing HVAC/R company servicing commercial and residential clients throughout North Jersey, New York City, Staten Island, and surrounding areas. We are looking for a highly organized and motivated Office Administrator/Dispatcher to help manage daily operations and support our field technicians. Responsibilities • Schedule and dispatch technicians to service calls and preventative maintenance visits, • Answer phones and communicate professionally with customers, vendors, and property managers, • Create and manage work orders, invoices, and service tickets, • Follow up on estimates, approvals, and customer updates, • Coordinate with technicians regarding scheduling, materials, and job statuses, • Maintain organized records for invoices, COIs, maintenance agreements, and service reports, • Assist with accounts receivable/accounts payable tasks, • Update systems such as ServiceChannel, Corrigo, or customer portals when needed, • Previous administrative, dispatching, or office experience preferred, • HVAC, construction, or service industry experience is a plus, • Strong communication and customer service skills, • Highly organized with strong multitasking abilities, • Ability to work in a fast-paced environment, • Proficient with email, Microsoft Office/Google Workspace, • Experience with invoicing and scheduling software is a plus

We are seeking a highly organized, trustworthy, and detail-oriented professional to serve as our Office Manager / Controller, playing a key role in day-to-day operations and financial management.
