Continued growth has created the need for a dedicated Client Service Associate to support one of our lead advisors and his book of 175 clients. You will play an important part in servicing, maintaining, and enhancing the strong relationships built with our clients. Whether you are completing paperwork, opening new accounts, handling service requests, scheduling meetings, or preparing for them, you approach each task with care and an unmatched level of accuracy and efficiency. Ideally, you have a working knowledge of industry software, systems, and processes, but we are also comfortable with providing training to the right individual who brings strong transferable skills from sister industries. You are exceptionally organized, detail-oriented, and committed to delivering a smooth, confidence-inspiring experience with every client interaction. Key Responsibilities Administrative & Operations Support • Calendar Management: Expertly manage the Advisor’s calendar, including scheduling client meetings, internal appointments, and professional commitments. Coordinate travel logistics (flights, hotels, ground transportation) as needed., • Communication Management: Act as the primary gatekeeper, screening and prioritizing incoming emails, calls, and mail. Draft and proofread correspondence, reports, and presentations for internal and external audiences., • Practice Management: Maintain an organized practice. Assisting with internal practice tracking, management, and administration., • Meeting Preparation: Prepare all necessary materials for client meetings, including performance reports, agendas, application forms, and presentation packets., • Follow-up: Initiate and track post-meeting follow-up tasks, ensuring all necessary documentation is completed, submitted, and properly recorded., • Client Interaction: Professionally work with clients and prospects, handle routine client inquiries including general questions, applications, withdrawal requests, beneficiary changes, etc., following all to completion, and directing any complex issues to the appropriate team member., • Event Coordination: Assist in the planning and execution of client appreciation events, seminars, and other practice-building activities., • Documentation Management: Ensure all client and business documentation adheres strictly to industry and firm compliance standards and regulations., • Record Keeping: Maintain meticulous, up-to-date records of all client communication and transactions. Qualifications • Bachelor’s degree highly preferred, or equivalent work experience, • 1-3 years of progressive experience in financial services (brokerage or advisory firm) highly preferred; candidates with experience in similar environments, such as accounting, banking, investment operations, insurance, or mortgage industry roles with a focus on processing are also encouraged to apply, • Tech-savvy and highly proficient in Microsoft Office suite (Excel, Word, and PowerPoint); strong ability to learn and apply new software systems quickly, • Knowledge of industry-specific software preferred; familiarity with Redtail, eMoney, Holistiplan, is a plus, • Current active FINRA licenses (Series 7 or SIE) is a plus, but not required, • A commitment to excellence; detail-oriented, client-focused, and highly organized, • Excellent interpersonal and communication skills; ability to communicate in a pleasant, tactful, and effective manner (both orally and in writing), and to handle difficult, sensitive issues, • Strong time management skills; ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions, • Demonstrates high integrity, a genuine desire to help others, and a proactive, solutions-oriented mindset, • Consistently exercises discretion with confidential information and thrives in a collaborative, fast-paced environment What We Offer • Competitive base compensation of $60,000-$75,000, depending on experience, • Discretionary bonus opportunity, • 100% employer-paid medical insurance for employee, • Dental, vision, and life insurance, • Retirement plan with employer match, • PTO and paid holidays, • Opportunities for career growth in client service and operation focused positions, • Hybrid work schedule
