Executive Assistant / Operations Manager - Philadelphia Construction Tech Start-up- $70k- $95k + bonus and fully paid benefits About the Company: A dynamic, founder-led business at the intersection of real estate development, construction supply chain, and technology is seeking a right-hand Executive Assistant / Operations Manager. The company sources, distributes, and consolidates building materials, streamlining procurement for contractors and offering bulk purchasing power, while simultaneously developing a technology platform designed to rival leading home service marketplaces. With strong proof of concept and significant recent revenue milestones, the company is positioned for rapid growth and profitability over the next several years. This is a lean team and candidates must possess an entrepreneurial mindset. About the Position: We are seeking a versatile and resourceful professional to serve as the Founder’s strategic partner and operational anchor, a true “right hand”, both administratively and operationally. The person in this seat will enable the Founder to stay focused on growth and revenue, while ensuring the day-to-day operations of the business run smoothly. The Founder envisions someone capable of holding their own with stakeholders, anticipating needs, and operating with both independence and discretion. This role will blend both Executive and Personal Assistant responsibilities. Responsibilities: • Manage the Founder’s calendar, coordinate meetings with contractors, partners, and external stakeholders, and ensure time is aligned with business priorities., • Track deliverables across development, supply chain, and tech initiatives, follow up with vendors and team members, and provide the Founder with clear, concise updates on progress and deadlines., • Arrange travel itineraries including flights, accommodations, and ground transportation; anticipate needs to ensure seamless execution of business and personal trips., • Support hiring efforts by sourcing, onboarding, and managing junior staff or virtual assistants as the company scales., • Conduct research to identify potential leads, assist with outreach efforts, and help maintain follow-up processes to drive sales opportunities., • Establish and refine organizational workflows, ensuring priorities are tracked., • Develop a deep understanding of the Founder’s working style and preferences, acting as a trusted partner and strategic extension of their role., • Collaborate with external consultants to guide social media campaigns and digital initiatives that strengthen the company’s presence in the market. Qualifications: • 5+ years of experience in an Executive Assistant, Operations, or hybrid EA/Chief of Staff role (entrepreneurial or high-growth environments preferred)., • Polished communication skills and strong professional presence., • Ability to learn industry nuances quickly (construction, real estate, supply chain, or related exposure a plus, but not required)., • Proven ability to manage multiple priorities, work independently, and exercise sound judgment., • Comfort overseeing external vendors/consultants, including marketing/social media partners., • Adaptable, resourceful, and energized by a fast-paced, evolving startup environment.
