Position Overview The Intake Specialist serves as the first point of contact for potential clients contacting the firm. This role requires strong communication skills, professionalism, empathy, and the ability to gather key information from individuals who may be experiencing difficult circumstances following serious injuries. The Intake Specialist will work closely with attorneys and the intake team to evaluate potential cases and ensure prospective clients receive a professional and compassionate initial experience with the firm. Key Responsibilities • Serve as the first point of contact for prospective clients via phone, email, and other communication channels, • Conduct detailed intake interviews with potential clients regarding personal injury and medical malpractice matters, • Gather, document, and organize case information accurately within the firm’s case management systems, • Communicate with attorneys and the intake team regarding potential case viability, • Maintain professionalism and empathy when speaking with individuals experiencing serious injuries or difficult circumstances, • Manage multiple inbound inquiries while maintaining strong attention to detail and accuracy, • Track intake status and ensure timely follow-up with prospective clients, • Assist with administrative tasks and documentation related to new matters, • Collaborate with attorneys, paralegals, and intake staff in a fast-paced environment Qualifications • Bachelor’s degree preferred; recent graduates encouraged to apply, • Strong communication and interpersonal skills with excellent phone etiquette, • Demonstrated empathy and professionalism when speaking with individuals in sensitive situations, • Highly organized with strong attention to detail, • Ability to multitask and prioritize work in a fast-paced environment, • Comfortable working both independently and as part of a team, • Experience in legal intake, personal injury, medical malpractice, or healthcare environments is a plus but not required Team & Work Environment The Intake Specialist will join a collaborative team of approximately 12 intake professionals led by a dedicated Intake Manager and will work closely with one of the Firm's partners. Schedule This position follows a unique hybrid schedule after a 30-day training/probationary period: • In Office: Monday, Thursday, and Friday, • Remote: Saturday and Sunday, • Days Off: Tuesday and Wednesday Transportation The office is conveniently located in Center City Philadelphia and is easily accessible by public transportation, which most employees utilize.
