The ideal candidate is organized, detail-oriented, and comfortable working in a fast-paced nonprofit environment that centers American Indian/Alaska Native (AI/AN) communities. They bring strong administrative skills, excellent communication abilities, and the discretion to manage sensitive information. Essential Functions Administrative Support · Manage the Senior Director’s calendar, including scheduling across departments, leadership, board, and external partners. · Prepare and edit correspondence and other written material. · Coordinate travel, reimbursements, and expense reports. · Support the Senior Director in ensuring timely completion of key deliverables. Communication & Coordination · Serve as the first point of contact for inquiries directed to the Senior Director. · Coordinate communications and follow-up between the Senior Director, UAII leadership, board members, staff, and external partners. · Record meeting notes and track action items for leadership, board, and cross-departmental meetings. Project & Operational Support · Assist with planning and executing departmental projects, events, and initiatives. · Support the Senior Director in monitoring departmental deadlines, grant deliverables, and reporting schedules. · Support the organization of invoices and project-related documentation. · Maintain accurate records, filing systems, and project management tools. Board & Leadership Support · Assist with preparation of materials for the Board of Directors, including follow-up communications, reports, and presentations. · Support coordination of board-related activities, including scheduling, logistics, and recordkeeping. · Handle sensitive and confidential information with professionalism and discretion. Requirements: Minimum Qualifications (Education & Experience) · High school diploma or equivalent (A combination of experience, education, and training may substitute for degree requirements on a year for year basis). · 1-2 years of administrative office experience. · Strong organizational skills, attention to detail, and ability to manage competing priorities. · Proficiency in Microsoft Office Suite and cloud-based collaboration tools (e.g., Teams, SharePoint, Google Workspace). · California Driver's license; driving is an essential job function. · Clean driving record, eligible to be insured by UAll's auto policy. Preferred Qualifications (Education & Experience) · Experience supporting high-level leaders and Boards of Directors in complex, multi-department organizations. · Proven ability to anticipate high-level leadership needs and manage sensitive situations with discretion. · Experience working with the American Indian/Alaskan Native community. · Experience working with nonprofit organizations. Knowledge, Skills, Abilities & Competencies · Knowledge of Indian Self-Determination and Education Assistance Act (PL93-638) or willingness to learn. · Knowledge of Title V of the Indian Health Care Improvement Act (PL 94-437) or willingness to learn. · Knowledge of the Affordable Care Act (PL 111-148) or willingness to learn. · Strong understanding and sensitivity to American Indian/Alaska Native (AI/AN) cultures and lifestyles and work effectively with AI/AN population. · Effective oral and written communications skills with sensitivity to lifestyles of targeted participants, while maintaining a high level of professionalism. · Skills in operating personal computer using a variety of computer software (Microsoft Office, Adobe, Microsoft Teams, Zoom). · Ability to establish and maintain cooperative working relationships with management, coworkers, and outside contacts. · Ability to keep up with a fast-paced environment. · Ability to anticipate issues and find solutions quickly and effectively. · Ability to learn and apply program/agency operating policies and procedures. · Ability to manage multiple priorities and tasks concurrently and meet deadlines. · Ability to interact with various people on various, and at times, complex issues. · Ability to work independently as well as with teams with a service-oriented mindset.
