Job Description The Senior Manager, Supply Chain & Order Processing owns end-to-end supply chain planning and order execution for a high-growth, revenue-critical organization. This role ensures BioWave always has the right inventory at the right time, while orders flow accurately and efficiently from intake through invoicing and fulfillment. This leader sits at the intersection of Sales, Finance, Fulfillment, Quality, and external suppliers—translating sales demand into disciplined purchasing plans, managing supplier performance, and overseeing a high-volume order processing operation. Success is measured by zero stockouts, fast and accurate order turnaround, clean financials, controlled inventory, and declining COGS. The role directly manages supply chain execution and leads a team of Order Processors, serving as the operational backbone between planning and customer delivery. Key Performance Indicators (KPIs) • Stockout Rate (%), • Order Turnaround Time (24-hour processing SLA), • Forecast Accuracy (%), • Inventory Turns, • Supplier On-Time Delivery (%), • Order Accuracy Rate (%) Supply Chain Planning & Inventory Management • Translate sales forecasts into finished goods andcomponentdemand plans, • Set andmaintainmin/max inventory levels across finished goods and key components, • Identifyinventory risks early (stockouts, excess, long lead times) and drive corrective action, • Partner with Fulfillment to reconcile physical counts vs. system inventory, • Own PO creation, tracking, and follow-up across suppliers and contract manufacturers, • Maintainsupplier scorecards covering delivery, quality, cost, and responsiveness, • Drive supplier accountability and proactive issue resolution, • Support sourcing decisions and negotiations to reduce unit costs, freight, and lead times, • Own the end-to-end order lifecycle from intake to invoicing across all channels, • Ensureaccurate,timelyorder processing and billing with a 24-hour turnaround SLA, • Resolve complex order issues including pricing discrepancies, warranties, contracts, and billing exceptions, • Ensure compliance with internal controls, accounting standards, and company policies, • Lead, coach, and develop a team of Order Processors, • Establish clear KPIs, workflows, and documentation to support scale and consistency, • Conduct performance reviews and provide ongoing training across systems and processes, • Track and analyze COGS per unit by product line, • Identifycost reduction opportunities across materials, freight, packaging, and sourcing, • Support tariff, duties, and customs forecasting andpurchasingdecisions, • Serve as functional owner for supply chain and order processing workflows across Salesforce, QuickBooks, Freshdesk, and related tools, • Maintain clean system data (inventory, vendors, POs, orders), • Own weekly operational reporting (KPIs, risks, actions), • Identifyautomation and process improvement opportunities to reduce manual effort and errors, • 7–10+ years in supply chain, order management, or operations leadership, • 3+ years of people management experience, • Proven experience supporting high-volume, revenue-critical operations ($20M+ preferred), • Strong knowledge of inventory planning,purchasing, order execution, and cost drivers, • Hands-on experience with Salesforce, QuickBooks, Freshdesk, and spreadsheet-based analysis, • Excellent cross-functional communication and stakeholder management skills, • Highly analytical with a strong bias toward execution and ownership, • Experience with contract manufacturers, • Medical device, healthcare, or regulated industry experience, • Familiarity with ERP systems and revenue recognition principles Bachelor’s degree in Supply Chain Management, Business Administration, Operations, or a related field Pay & Benefits Summary • Base:$75,000 w/discretionary managerial bonus, • MedicalFamily–55%,Employee45%(year1&2),75%(3yearsonwards), • 401K-discretionary2.5%employermatch, • Basic/VoluntaryTermLifeInsurance, • LongTermDisability, • HSAAccounts, • PTOYears 1and2,15days,Year3onwards20days, • 12paidpublicholidays, • Remoteworkenvironment(Eastcoasthoursrequiredinitially) BioWave is committed to the principles of equal employment opportunity and providing reasonable accommodations to qualified individuals with disabilities.
