Job Description Job Summary: The Senior Contract Manager is responsible for overseeing the full lifecycle of federal contracts, ensuring compliance, operational efficiency, and successful project execution. This role serves as a strategic partner to project teams, finance, and leadership, supporting contract administration, resource coordination, and proposal development to drive successful federal program delivery and growth. Primary Essential Functions: • Manage the full lifecycle of federal contracts, including compliance, renewals, deliverables tracking, and stakeholder communication., • Oversee invoice coordination by ensuring accuracy, completeness, and timely submission, including collection of all required supporting documentation., • Collaborate with finance and project teams to resolve invoicing discrepancies and maintain alignment with contract requirements., • Support resource planning and allocation across federal projects to ensure optimal utilization and project success., • Manage subcontractor processes including onboarding, agreement execution, compliance tracking, and performance monitoring., • Ensure all required insurance certificates are current, compliant, and properly documented for federal contracts and subcontractors., • Track, coordinate, and support execution of additional service requests, contract modifications, and change orders., • Provide administrative and coordination support for federal proposal development, including gathering technical inputs, organizing materials, and ensuring compliance with submission requirements., • Maintain accurate contract documentation, records, and reporting to support audits and internal reviews., • Serve as a key point of contact for internal teams and external partners regarding contract-related matters. Competencies (Knowledge, Skills, Abilities): Knowledge • Strong understanding of federal contracting regulations, compliance requirements, and procurement processes., • Knowledge of contract lifecycle management, invoicing procedures, and subcontractor management., • Familiarity with federal proposal processes, including RFP/RFQ requirements and submission standards. Skills • Excellent organizational and project management skills with the ability to manage multiple contracts and deadlines simultaneously., • Strong communication and interpersonal skills to effectively coordinate with internal teams, clients, and subcontractors., • Detail-oriented with strong analytical and problem-solving capabilities., • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and contract or project management systems. Abilities • Ability to interpret and apply complex contract requirements and regulations., • Ability to prioritize tasks and manage competing priorities in a fast-paced environment., • Ability to work independently while also collaborating effectively within cross-functional teams., • Ability to maintain confidentiality and handle sensitive information with discretion. Qualifications: Required • Bachelor’s degree in Business Administration, Contract Management, Finance, or a related field., • Minimum of 5–7 years of experience in federal contract administration, project coordination, or related role within the AEC or government services industry., • Demonstrated experience managing federal contracts, invoicing processes, and subcontractor coordination. Preferred • Experience with federal contracting systems such as SAM.gov, Deltek, GovWin, or similar platforms., • Professional certification such as CPCM (Certified Professional Contracts Manager) or equivalent., • Experience supporting federal proposal development and business development efforts. Physical Requirements: • Ability to remain seated for extended periods while working at a computer or attending meetings., • Frequent use of standard office equipment, including computers, keyboards, telephones, and printers., • Occasional light physical activity such as walking, standing, or carrying materials (up to 20 lbs.)., • Ability to communicate clearly and effectively in person, over the phone, and through written communication.
