Job Description The Women’s Health Practice Administrator is responsible for the strategic and day-to-day management of women’s health services operations, ensuring the consistent delivery of high-quality, patient-centered care while maximizing operational efficiency. This role provides direct supervision of key non-clinical personnel, including call center representatives, front desk coordinators, financial counselors, and women’s health coordinators. Key responsibilities include overseeing clinic workflows, implementing and monitoring adherence to policies and procedures, and collaborating with the revenue cycle management team to ensure accurate billing and coding practices. The Administrator also partners with the referral coordination team to streamline referral processes and improve turnaround times. In close collaboration with the Women’s Health Nurse Administrator, the Practice Administrator works to enhance provider scheduling, optimize provider utilization, and improve patient access and satisfaction across all women’s health service lines. Essential Duties & Functions • Manage day-to-day administrative operations of women's health clinics, including scheduling, staffing, and resource allocation., • Supervise and support women’s health coordinators, call center representatives, front desk coordinators, and financial counselors to foster a collaborative work environment., • Mentor and support staff in their professional development and conduct bi-annual competency evaluations for Women's Health administrative support staff., • Manage onboarding and conduct regular staff training and orientation on policies and best practices, • Monitor and evaluate clinic performance metrics, adjusting as necessary to improve operations., • Develop and implement policies and procedures to ensure compliance with Tampa Family Health Centers (TFHC), local, state, and federal healthcare regulations and standards, as well as accreditation requirements including AAAHC, OSHA, NCQA, and CMS., • Oversee scheduling, daily staffing, and PTO coordination with center managers., • Ensure accurate front-end revenue cycle operations for the Women's Care department and provide strategies for success., • Collaborate with the revenue cycle management team to ensure accurate billing and coding practices., • Collect data, prepare reports, and analyze practice statistics, addressing variances with development of action plans to address needed adjustments., • Manage departmental expense and monitors volume/revenue generation to assure that practice financials are met or exceeded., • Work with the center leadership team to reduce first pass denials, secure eligibility, referrals, and capture of point of service cash., • Oversee the financial counseling process, assisting patients with sliding scale, payment plans, and insurance inquiries., • Perform regular chart audits and enforce compliance with appropriate registration documentation, and workflow adherence for UDS collected demographic data., • Maintain accurate and up-to-date documentation of policies, procedures, and operational changes., • Utilize patient no-show, cancel, and recall lists, including those for no-shows, missed prenatal care, and overdue health maintenance, to target individuals requiring attention., • Collaborate closely with the Women’s Health Nurse Administrator to enhance scheduling processes, provider utilization, to coordinate patient care and address operational issues., • Collaborate with the Referral Manager to implement the best practices, address any operational challenges, and ensure that the referral team meets performance goals while maintaining high standards of patient care., • Participate in interdepartmental meetings to align operational goals with patient care strategies., • Implement initiatives aimed at improving patient access to services and overall satisfaction., • Ensure high standards of patient care are maintained and address patient concerns or complaints; gather and analyze patient feedback to identify areas for improvement in service delivery., • Implement patient engagement strategies and improve patient satisfaction metrics., • Participate in quality improvement initiatives and monitor clinic performance and implement strategies for continuous quality improvement., • Exhibit the ability to prioritize and manage a variety of tasks concurrently to meet deadlines., • Maintain appropriate confidentiality and always compliant with HIPAA., • Travel between multiple women’s health sites as required to provide oversight, support, and ensure consistent implementation of care and operational standards., • All other duties as assigned. Required Education, Certifications, Licenses, & Training • Bachelor’s degree in healthcare or business administration, public health, nursing, or related field is required., • Master’s degree and/or CMPE Certification is preferred., • Valid Driver’s License Required Years of Experience • Minimum five years of healthcare management or practice administration experience, with at least two years of women’s health or OB/GYN settings., • Prior experience in a FQHC or community health setting preferred Required Knowledge, Skills, and/or Abilities • In-depth understanding of women’s health services, • Demonstrated ability to ensure compliance with healthcare regulations and standards, including Title X, HRSA, Medicaid/Medicare, and managed care programs., • Strong leadership, organizational, and team-building skills., • Strong understanding of business and clinical operations of a medical group practice., • Knowledge of FQHC operations, including compliance, billing and coding, quality metrics (e.g., HEDIS, UDS, PCMH), and third-party reimbursement., • Knowledge of fiscal management techniques and revenue cycle management., • Excellent communication skills and ability to collaborate effectively with a diverse team of healthcare professionals., • Proficiency with EMR/EHR systems (e.g., EPIC, eClinicalWorks, Athena, Cerner) and general computer applications including Microsoft Office., • Ability to analyze and interpret complex data and prepare comprehensive reports.
