At GAIN we rely on a vibrant and passionate volunteer community to help us achieve our mission. We currently have over 2,000 volunteers signed up to our newsletter – all keen to stay informed about opportunities to contribute. Purpose of the Role The Volunteer Engagement Coordinator plays a central role in delivering GAIN’s mission by leading the coordination, engagement and development of GAIN’s volunteer network. This is a hands-on, delivery-focused role with significant ownership, operating with autonomy across core volunteer activities while working closely with colleagues across the organisation. The role is corporate-facing, engaging directly with volunteers from sponsor firms and corporate partners, and has end-to-end ownership of the volunteer journey. This includes recruiting and onboarding volunteers, supporting and deploying them across GAIN’s programmes and events, and ensuring their contribution is recognised and valued at every stage. Working closely with the Senior Manager - External Stakeholder Engagement, the Volunteer Coordinator will manage the day-to-day delivery of volunteer engagement, contribute to improving volunteer systems and processes, and support the continued growth and sustainability of GAIN’s volunteer community. Key Responsibilities Volunteer Management & Engagement • Take ownership of the day-to-day management of GAIN’s volunteer network, acting as the primary point of contact for volunteers across programmes and events., • Coordinate the recruitment, onboarding and induction of volunteers, ensuring a consistent and high-quality experience., • Schedule, brief and confirm volunteers for student-facing activities including mentoring, judging, talks, insight sessions and other engagement activities., • Build strong, trusted relationships with volunteers, ensuring they feel supported, valued and motivated to remain engaged., • Proactively identify opportunities to improve volunteer retention, recognition and overall engagement. Volunteer Events & Engagement Activities • Lead the coordination and delivery of volunteer-focused events, such as networking events, briefings, training sessions and recognition activities., • Manage all volunteer-related event logistics, including invitations, registrations, communications, scheduling and post-event follow-up., • Act as the main point of contact for volunteers before, during and after events, ensuring a smooth, professional and engaging experience. Flexibility is a must as some of these events take place in the evenings (once a quarter), • Support on-the-day delivery of virtual and in-person volunteer events where required., • Gather and review volunteer feedback following events and use insights to improve future engagement and delivery., • Track and maintain accurate records of volunteer participation in events to support reporting and impact measurement. Corporate & External Engagement Work closely with the Senior Manager - External Stakeholder Engagement to support volunteer engagement linked to corporate sponsors and partners. • Act as a corporate-facing representative of GAIN when liaising with volunteers from sponsor firms., • Support the coordination of corporate volunteering opportunities, ensuring alignment with sponsor priorities and capacity., • Contribute to maintaining strong corporate relationships by ensuring volunteering opportunities are well organised, impactful and professionally delivered. Cross-Team Collaboration • Work collaboratively across GAIN teams (including Schools, Universities, and Marketing) to understand volunteer needs and timelines., • Source and coordinate appropriate volunteers for activities delivered across the organisation., • Ensure clear, timely communication between internal teams and volunteers to support smooth programme and event delivery. Systems, Data & Reporting • Maintain accurate and up-to-date volunteer records using GAIN systems (e.g. CRM / Beacon), maintaining high data quality and GDPR compliance., • Track volunteer engagement, participation and activity, contributing to regular reporting and insights., • Support the use and continuous improvement of volunteer systems and processes to increase efficiency and effectiveness. Continuous Improvement & Development • Take a proactive role in identifying opportunities to improve volunteer processes, communications and ways of working., • Contribute ideas and insights to support the ongoing development and growth of GAIN’s volunteer network, in line with organisational priorities., • Support the Senior Manager - External Stakeholder Engagement with initiatives that strengthen volunteer pipelines and long-term engagement. Skills & Experience Essential • 1-2 years’ experience coordinating volunteers, stakeholders or engagement programmes, with a track record of taking ownership of delivery., • Strong organisational skills with the ability to manage multiple priorities independently., • Confident, professional communication skills, including experience working with corporate-facing audiences., • Ability to build strong relationships and work collaboratively across teams in a small fast-paced organisation., • Experience using systems such as CRMs or volunteer management platforms., • A proactive, solutions-focused mindset with the ability to anticipate and resolve issues., • Experience working with corporate volunteers or within a corporate partnership environment., • Experience delivering or coordinating events., • Experience in the charity, education or non-profit sector., • Familiarity with volunteer engagement or community platforms.
