The Team The Intellectual Property practice is a growing force in the trademark market, with over 250 lawyers and professionals globally. Multiple of which have been individually ranked for expertise in trademarks, patents and copyright across jurisdictions including the UK, US and Australia. The practice advises on the full spectrum of IP matters, including patents, trademarks, copyright, designs, trade secrets and related rights. The team works with major global brands across sectors such as consumer goods, luxury, hospitality and technology. The London team consists of 3 heavy-hitting partners, who have created a close-knitted culture between a further 6 associates, 2 paralegals and 2 secretaries. As a Trademark specialist, you will play a vital role in supporting the team, becoming integral part of the team’s structure and contributing to its success. The Role This is an opportunity for an Administrator who has a particular interest in Intellectual Property and Trade Marks to join a large global law firm, where you will have exposure to supporting award-winning lawyers and supporting on major high-valued Trademark work. You will provide support to the trade mark fee earners in an administrative role which shall involve all aspects of the trade mark practice including assisting with trade mark database management and correspondence. Key Responsibilities: • Assisting fee earners with deadlines, document preparation, filing managing case diaries, and handling document/file organisation, • Drafting standard correspondence, answering phones, managing diaries, and booking travel/accommodation, • Monitoring mailboxes, using external client systems, and updating online databases, • Opening new files, invoicing/billing, file closing entering attorney expenses, and ordering couriers., • Extracting docketing records and portfolio reports, conducting web searches and citation reporting, • Assisting with assignment recordings, changes of name, mergers, reclassifications and changes of client/representative, • Preparing cost estimates for clients, • Monitoring WIP, preparing draft bills, dealing with accounts, billing and invoice enquiries, • Handling UKIPO/WIPO notifications, • Covering for absence of Trade Mark paralegal, including dealing with trade mark renewals and preparing and filing applications The successful candidate will have the chance to work closely with a team of highly regarded solicitors, build relationships client base on behalf of fee earners and contribute to the continued success of the team. Requirements • Proven experience in administrative roles with proficiency in Microsoft Word and Outlook., • Knowledge of trademark law, formalities and practice is desirable, • Preferable experience as a records administrator in a deadline driven legal environment., • Experience in database entries and maintenance is essential, • Excellent communication skills and a logical and organised approach, • Exceptional attention to detail and a high level of accuracy are essential., • A pro-active nature with the confidence and commercial awareness to be able to relate to clients at all levels (mainly internal) and be capable of working both independently and as part of team.
