Job Title: Legal Secretary Location: Stockton-on-Tees Department: Commercial Property Hours: Full-Time Pay: Competitive \n Role Purpose \n To provide high-quality administrative and secretarial support to the Commercial Property team, ensuring the efficient management of transactions and delivery of excellent client service. This includes managing diaries, preparing legal documentation, maintaining accurate records, and supporting fee earners on a range of commercial property matters. \n Key Responsibilities \n\n • Manage calendars, appointments, and key transaction deadlines for fee earners.\n, • Welcome clients professionally and handle routine enquiries.\n, • Prepare correspondence, attendance notes, leases, licences, reports, contracts, and other commercial property documentation.\n, • Assist with commercial acquisitions, disposals, lease transactions, and refinancing matters.\n, • Organise and maintain electronic and paper files, ensuring all documentation is accurately filed.\n, • Carry out general administration duties including scanning, photocopying, filing, and handling post.\n, • Take accurate telephone messages and liaise with clients, agents, lenders, surveyors, and solicitors.\n, • Assist with billing, invoicing, and completion statements.\n, • Conduct Land Registry searches and obtain supporting documentation where required.\n, • Maintain accurate file notes and update case management systems.\n, • Support colleagues within the department and provide cover during periods of absence.\n, • Ensure all outgoing correspondence and documents are approved by the supervising fee earner before dispatch.\n\n Relationships \n Reports to: Director(s) \n Qualifications & Training \n\n • Minimum 12 months' experience in a Legal Secretary or similar support role.\n, • Previous Commercial Property or Property Law experience is desirable.\n, • Proficient in Microsoft Office and legal case management systems.\n, • Excellent organisational skills and attention to detail.\n, • Professional and confident telephone manner.\n\n Competencies \n Communication: Communicates clearly and professionally with clients, colleagues, and third parties. \n Delivery: Manages workload effectively and consistently produces accurate work. \n Self-Management: Demonstrates initiative and works independently when required. \n Customer Focus: Delivers excellent client service and maintains strong professional relationships. \n Adaptability: Responds positively to changing priorities and business needs. \n Technical Skills \n\n • Proficiency in Microsoft Office and legal case management systems.\n, • Strong typing and document production skills.\n, • Experience preparing commercial property documentation including leases, licences, contracts, and Land Registry forms.\n, • Excellent organisational and time management skills.\n\n Behavioural Attributes \n\n • Self-motivated and proactive.\n, • High levels of integrity and professionalism.\n, • Strong attention to detail and commitment to quality.\n, • Ability to remain calm and organised in a busy transactional environment.\n\n If this sounds like the role for you, send your CV to today! \n
