We are urgently seeking an experienced Care Home Office Administrator to support a busy care home on a temporary basis. This is a hands-on, fast-paced role requiring someone who can step in quickly, work independently, and confidently manage a wide range of administrative and financial duties. Key Responsibilities • Manage the purchase ledger and ordering system, including invoices, delivery notes, supplier queries, and budget coding, • Control and reconcile petty cash and support budget management alongside the Home Manager, • Administer sales reconciliation, banking, fee billing, resident admissions/discharges, and credit control, • Manage and reconcile residents’ pocket money accounts, liaising with relatives or next of kin as needed, • Maintain staff records, recruitment documentation, rotas, timesheets, and payroll information, • Update training logs and ensure staff files are accurate and compliant, • Handle incoming calls, mail, and correspondence with discretion and professionalism, • Maintain robust electronic and paper filing systems, • Order office supplies and manage stock levels within budget, • Support the wider management team and, where required, assist with line management of support departments, • Undertake general office and clerical duties as required Skills & Experience Required • Strong administrative experience, ideally within a care or regulated environment, • Excellent literacy, numeracy, and IT skills (Outlook, Word, Excel essential), • Highly organised with exceptional attention to detail, • Confident handling confidential and sensitive information, • Professional and friendly telephone manner, • Ability to prioritise, multitask, and remain calm under pressure Personal Attributes • Approachable, professional, and non-judgmental, • Strong communicator with excellent interpersonal skills, • Flexible, self-motivated, and a reliable team player, • Comfortable dealing with unexpected tasks and tight deadlines Working Environment • Office-based role within a care home setting, • Temporary position with an urgent requirement – ideal for someone immediately available If you are an experienced administrator who can hit the ground running and are available at short notice, we want to hear from you.
