    Part-Time Marketing & CRM Assistant Hybrid – Ealing, London | 2 days per week Berenice London is a growing specialist hair and wig business based in Ealing, London. We are looking for a highly organised, proactive and tech-confident Marketing & CRM Assistant to work closely with our founder and help us better organise and manage our marketing systems and customer communications. This is not primarily a social media management role. We already have a team member responsible for our social media and content. Instead, we are looking for someone who loves organisation, systems, email marketing, customer communication and making sure things actually get done. What you'll be helping with • Managing and monitoring our GoHighLevel CRM, • Setting up, reviewing and improving email automations and customer journeys, • Making sure leads and customers are correctly organised, tagged and followed up, • Managing and improving our Calendly booking journeys and automated communications, • Taking ownership of organising and managing our Zoho email inbox, • Responding to customer enquiries and emails in a professional, warm and helpful way, • Identifying emails that need the founder's personal input and making sure they are brought to her attention, • Following up customer enquiries and conversations where appropriate, • Editing and maintaining customer information within our systems, • Reviewing our existing automated emails and identifying where communications could be improved, • Helping plan email newsletters, including coming up with ideas and keeping a regular newsletter schedule, • Working alongside our existing social media/content team member, • Helping the founder plan content and making sure planned Instagram videos actually get recorded, • Keeping track of marketing ideas, improvements and unfinished projects and helping move them through to completion, • Regularly reviewing our customer journey and spotting things that aren't working as well as they should The person we're looking for You don't need to be a senior marketing manager. We're looking for someone who is: • Extremely organised, • Proactive and comfortable taking ownership, • Confident learning and using online systems, • Comfortable with CRM and email marketing software, • Excellent at written English and confident communicating directly with customers, • Warm, professional and thoughtful in their communication, • Able to understand when they can deal with something themselves and when something needs to be escalated to the founder, • Able to work independently, • Naturally good at following things through, • Comfortable reminding and chasing the founder when something is needed!, • Interested in improving how a small growing business operates Experience with GoHighLevel, Zoho or Calendly would be a big advantage, but you don't necessarily need experience with all three if you're confident learning new systems. The role Part-time – approximately 2 days per week We envisage this being a hybrid position, with approximately one day per week working with us in Ealing and the remaining time working remotely. There may be an opportunity for the role and hours to grow over time. You'll work closely with the founder of Berenice London as well as our existing remote marketing/content team member. We're a small business, so we're looking for someone who enjoys being involved, bringing ideas and gradually taking ownership of their area rather than waiting to be given every individual task.     Job title: Building Manager Reports to: Premises Clerk Location: Ealing Quaker Meeting House, 17 Woodville Road, W5 2SE Contract: Fixed term of 18 months with the possibility of becoming permanent Hours: 15 hours per week onsite Salary: £14,110 (reviewed annually) Closing Date August 7th, 2026 Interview Date August 17th, 2026 Purpose of the Role The Building Manager is responsible for ensuring the Quaker Meeting House is safe, welcoming, well-maintained, and effectively managed as both a place of worship and a community venue. The role oversees the day-to-day operation of the building, including maintenance coordination, room hire and lettings, contractor management, administration, and support for health and safety compliance, in line with Quaker values and Meeting policies. Key Responsibilities The Buildings Manager will: · Support increased and appropriate use of the Meeting House through lettings aligned with Quaker values and Meeting policies. · Manage relationships with hirers and building users. · Oversee the day-to-day running of the building and associated administration. · Supervise cleaning staff and coordinate contractors and maintenance services. · Support safeguarding and health and safety compliance by ensuring required checks, records, and procedures are maintained. · Help maintain the Meeting House as both an attractive community venue and a place of worship. Location and flexible working · The post holder will be employed by London West Area Meeting. · The role is site-based. · Flexible and family-friendly working arrangements will be considered where operationally possible. · Occasional evening and weekend work may be required. Principal Tasks Hirings and Income Development · Promote room hire and develop lettings opportunities consistent with Quaker values. · Market the Meeting House through appropriate digital and local channels. · Manage enquiries, bookings, hire agreements, and invoicing. · Coordinate bookings and balance the needs of hirers and Meeting activities. · Monitor local venue hire rates and gather feedback to improve uptake. · Build relationships with local Meeting Houses and community organisations where appropriate. Building Operations · Oversee the smooth day-to-day operation of the Meeting House. · Liaise with contractors, utilities, and relevant property organisations regarding maintenance and repairs. · Coordinate maintenance works and monitor contractor performance. · Prepare rooms and move light furniture as required for worship and hirings. · Conduct routine building and security checks, including supporting testing of fire alarms and access systems. · Maintain accurate records relating to maintenance, compliance, and building use. · Act as a keyholder and undertake lone working where required, following agreed procedures. Reporting and Administration · Work with the Treasurer to maintain records relating to hirings and building use. · Prepare reports for the Premises Committee and contribute to monitoring income and building use. · Provide quarterly updates to the Premises Committee against agreed objectives. · Support basic financial administration. Desirable · Experience in marketing, venue hire, or income generation. · Experience working with volunteers, committees, or community organisations. · Experience using social media, particularly Instagram and Facebook. · Knowledge of the local area. · Experience in a faith, charity, or community setting. General · Attend regular supervision and appraisal meetings. · Build effective relationships with Ealing Quakers, relevant committees, London Quaker Property Trust (LQPT), and London West Area Meeting (LWAM). · Comply with Meeting policies, including safeguarding, equality, data protection, and health and safety. · Support trustees in maintaining health and safety compliance; overall responsibility remains with Trustees. · London West Area Meeting is committed to safeguarding children and vulnerable adults.
