Job Description Property Manager Grow | Learn | Be Amazing! REPORTS TO: Regional Manager SUMMARY The Community Manager is responsible for the full operational performance of the apartment communities under management. This role oversees leasing, maintenance coordination, delinquency management, resident relations, and staff supervision to ensure the properties operate efficiently and meet financial and occupancy goals. The Community Manager is expected to take proactive ownership of daily operations across all assigned communities and ensure issues are addressed promptly without requiring constant direction from ownership. The role requires strong organizational skills, attention to detail, and the ability to lead a team while maintaining high standards of customer service and operational performance. This position oversees operations across multiple apartment communities within the portfolio and ensures consistent standards in leasing, maintenance, resident relations, financial performance, and overall property condition. JOB DUTIES AND RESPONSIBILITIES Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to multi family. · Must be comfortable working in a fast-paced environment. · Represent the company and apartment communities in a professional manner at all times. · Ensure that the entire staff is aware of the company’s leasing policy and Fair Housing is understood and followed by all team members and contractors. Ensure that the necessary Fair Housing notices are posted as required by local, state and federal regulations. · Maintain strong awareness of safety practices and procedures across the property. · Ensure common areas such as pathways, stairways, grounds, play grounds, common grounds, are clean and in safe condition. Repair any unsafe items immediate or mark to ensure no person is injured. · Monitor work of contractors and report finding and concerns to Sales Representative and Regional Manager. · Maintain professional vendor relationships and oversee vendor work to ensure quality standards are met. · Continuously be aware of safety practices and procedures. · Immediately report claims concerning property incidents to Regional Manager and ownership. · Contribute to cleanliness and curb appeal of the community on continuing basis. · Assist in the pursuit of new business. · Represent Legacy REI Group and the apartment community in a professional manner at all times. ADMINISTRATIVE/OFFICE · Responsible for knowing the application, lease and all applicable Texas property code laws. · Responsible for keeping up to date with the TAA Redbook and any changes relating to the TAA application, lease and related lease forms. · Ensures that lease files are complete and that completion of leases is being executed properly. · Responsible for office opening on schedule, condition of office and model apartment homes. · Attends scheduled corporate management meetings. · Maintains records on all aspects of management activity on a daily, weekly and/or monthly basis. Submits required reports to corporate office on a weekly and monthly basis. · Communicates all challenges affecting the operation of the property to the Regional Manager in a timely manner. · Ensure all calendar activities, deadlines, and operational tasks are completed on schedule. · Communicate operational challenges or concerns to ownership in a timely and proactive manner. · Ensures all calendar activities are conducted in a timely manner to meet required deadlines. · Ensures all required permits by city, county and state are current at all times, e.g. multifamily license, pool/spa, boiler, etc. TEAM MEMBER RELATIONS · Hire and train new team members and provide the new hire with a thorough introduction of the community and the Company so that they understand what is expected of them. · Supervise all on site personnel both directly or indirectly to achieve operational goals of assigned property. · Provide the entire staff with leadership and supervision that will motivate team members to perform. · Constantly coach and mentor team members on individual and community goals. · Conducts on-going training with office staff (i.e., leasing paperwork, workplace safety, etc) that may be needed daily. · Review team member’s performance and schedule any training that is needed. · Make any recommendations for advancement and promotion of above average team members and recommendations for termination of non-qualified team members. · Report any team member injuries to Regional Manager. · Ensure team members maintain professional conduct, appearance, and customer service standards. RESIDENT RELATIONS · Maintain positive customer service attitude. · Ensure that the staff provides superior customer service to all residents. · Personally speak to residents who present challenging problems that other staff members cannot resolve and attempt to resolve the matter and report to Regional Manager for further guidance. · Assure proper dress, neatness and personal cleanliness by the entire staff in maintained at all times. · Follow up with residents after maintenance has been performed through phone calls, personal notes. · Delegate inspection or inspects with residents all move-in/move-outs. · Review all notices to vacate to determine the cause of the move-out. · Communicate to your residents about community news. MARKETING & LEASING · Maintain a professional, yet friendly, atmosphere in the leasing office and other areas where prospective residents and residents meet. · Maintain work area in a clean and organized manner. · Oversee the daily marketing, sales, and customer service efforts to ensure maximum potential is reached. · Personally inspect and approve made ready units to ensure quality and performance. · Review first impression items: entrance signs, office, and professional attire. · Delegate or conduct regular market surveys. Delegate or shop competition and be aware of neighborhood market conditions. · Review shopping reports with office staff and provide guidance on how to improve. · Maintain awareness of market/industry conditions and trends via trade publications, professional organizations, etc. · Complete Marketing & Advertising Plan quarterly. · Delegate or conduct weekly outreach marketing. · Proof all new leases and renewals to ensure that they are properly completed. · Manage an effective Resident Retention program. · Coordinate and manage resident activities. ACCOUNTING PROCEDURES · Manage collections and evictions of residents in compliance with company policies, court orders, any attorneys, and Regional Manager. · Ensures all rents are collected when due, and posted in a timely manner. · Ensure that there is a daily bank deposit of all checks and money orders received. · Responsible for operating within the established budget guidelines throughout the year. · Perform evictions, utility cut-offs and landlord liens as required on delinquent rents. · Constant vendor/contractor communications concerning work scheduling, billings, vendor relations and certificates of insurance. · Responsible for approving and submitting all invoices to corporate office for payment. MAINTENANCE · Personally inspect each building at least once each month. Maintain a monthly record of inspections and provide follow up supervision as needed. Inspect all areas of the community including all buildings, common grounds, playgrounds, laundry centers, pools, mail rooms, models, fitness centers, and any other common areas to ensure that team members are performing their assigned duties. · Maintain high standards for curb appeal across all communities, ensuring grounds, walkways, landscaping, signage, lighting, and common areas remain clean, safe, and presentable at all times. · Conduct regular property walks to identify maintenance, safety, or appearance issues and ensure they are addressed promptly. · Ensure vacant units, building exteriors, and common areas are maintained in a condition that supports leasing success and resident satisfaction. · Monitor leasing traffic, lead follow-up, and conversion performance. · Personally inspect all vacant apartments and decide the extent of repairs and maintenance required. · Update Make Ready Board daily. Coordinate with maintenance and make-ready staff to ensure timely recondition of apartment homes after move-out. · Monitor supply inventory and replacements using a log in coordination with the Lead Maintenance to track appliance inventory in apartment homes. · Monitor and schedule all maintenance activities. · Ensure that equipment is kept in working condition and any repairs are made as necessary. Replace equipment as necessary coordinated and approved by Regional Manager. · Inspect the Maintenance Shop regularly to ensure company compliance. SAFETY · Report all liability and community incidents to the Regional Manager immediately. Ensure that all occupational injury claims are reported and proper paperwork is completed immediately and forwarded to the Regional Manager within 24 hours. · Conduct monthly Safety Meeting with all staff members. GENERAL · Take proactive ownership of the operational performance of the assigned communities. · Monitor key operational metrics including occupancy, delinquency, leasing performance, and maintenance response times. · Ensure all resident communications (calls, voicemails, emails, and leasing inquiries) are returned within one business day. · Perform any additional duties or tasks and meet required deadlines as assigned by the Regional Manager. QUALIFICATIONS · Position requires appropriate experience in on-site property management. · Must have demonstrated leadership experience. · Must have a valid Driver's License. · Submit to background check and drug screens upon request. · Provide 2 Forms of ID showing eligibility to work in the US. · Must possess a positive attitude and the ability to smile under all circumstances. · Strong attention to detail and ability to manage multiple priorities. · Strong oral and written communication skills. · Mathematical skills necessary to add, subtract, multiply, and divide numbers, decimals, and fractions. · Must comply with policies and procedures outlined in the employee handbook. · Must participate in training to comply with new or existing laws. · Proficiency in word processing and spreadsheets. · Proficiency in using the Internet, email, property management software. WORK HOURS · This position generally requires a full-time schedule during normal business hours. Consistent office presence is expected. Occasional evening or weekend availability may be required to address operational needs, emergencies, or staffing coverage.
