    Location: Brooklyn, NY Position: Full-time Reports to: Director of Operations Are you highly organized, adaptable, and curious about how a dynamic organization runs behind the scenes? We are on the lookout for a thoughtful and capable English–Mandarin Bilingual Executive Assistant to work directly with the Director of Operations at Ms. Lam Montessori School. This role goes beyond managing schedules or completing isolated tasks. It is an entry-level, growth-oriented position for someone who enjoys multitasking, learning through doing, and becoming an essential part of a close-knit operations team. You will support daily operational needs, assist with a wide range of special projects, and help turn ideas into action so work moves forward smoothly and thoughtfully. This position is intentionally broad and designed to grow with the right person. Responsibilities may shift over time based on organizational needs. As skills, judgment, and reliability are demonstrated, the Executive Assistant will gradually take ownership of defined focus areas or recurring initiatives, while continuing to support general operations and special projects. We are hiring two Executive Assistants under this role. Responsibilities Provide day-to-day support to the Director of Operations across multiple priorities and projects Assist with planning, coordination, and execution of special projects as needed Help organize tasks, schedules, documents, and follow-ups Support cross-department communication and coordination Maintain clear, organized spreadsheets, records, and filing systems Assist with operational, administrative, and logistical tasks as priorities shift Communicate professionally and thoughtfully with staff, parents, and external partners when needed Step in where support is most needed to help ensure work runs smoothly Qualifications Entry-level position; 1–3 years of professional experience welcome (prior experience in a similar support role is a plus) Bachelor’s degree required Bilingual fluency in English and Mandarin required Strong organizational skills and attention to detail Technologically savvy, with proficiency in G-Suite and spreadsheets, and comfortable learning new internal systems and platforms Able to manage multiple priorities in a fast-paced environment Traits & Skills Highly organized, dependable, and proactive Solution-oriented, with strong problem-solving and critical-thinking skills Strong sense of urgency and accountability, with the ability to prioritize and meet deadlines Excellent organizational and time management skills Thoughtful and observant, with good judgment Professional, reliable, and respectful in all interactions Calm, adaptable, and resilient under pressure Eager to learn, grow, and take on increasing responsibility Able to handle sensitive information with discretion and confidentiality Comfortable working across a wide range of tasks and projects Candidates from creative backgrounds — including arts, design, or humanities — are welcome and encouraged to apply. Over time, and as capability and trust are demonstrated, the Executive Assistant may take increasing ownership of specific focus areas or recurring initiatives, while remaining closely supported and mentored by the Director of Operations.     Creative Operations & Growth Role We are looking for a smart, capable, and creative in-person assistant to work directly with a founder managing multiple creative and physical projects in New York City. This is a hands-on, growth-oriented role for someone who wants to build alongside a founder and expand into real responsibility over time. The work spans venue support, event production, sourcing materials, light construction coordination, textiles/apparel projects, and general operational support.
