We have a current opening for a Contracts Administrator at our Sacramento, CA & Dallas, TX office's. Success in the position can be achieved through the following duties & responsibilities: • Administer all contracts with our customers and subcontractor's resulting in a positive impact for our Customers and our Project Teams., • Complete bid specific prequalification’s and experience requirement forms., • Complete, track and maintain owner/client required prequalification’s., • Provide back up support to Estimating Manager to complete bid forms timely and with all necessary documentation, including Addenda and Bid Bonds., • Provide back up support to Marketing to complete RFP forms timely and with all necessary documentation, including Addenda and Bid Bonds., • Assist with gathering subcontractor compliance documents before bid day, including contractor’s license, DIR certification, union status, DBE status, etc., • Retain, track, and organize the flow of contract documents to and from our customers so that project teams can find information timely and efficiently., • Maintain log tracking status of contracts and key details., • Assist in the timely review and draft boilerplate edits for all contracts with existing customers, with a goal of 20-day turnaround., • Communicate and coordinate with the Contracts Manager for review of contracts with new customers, with a goal of 30-day turnaround., • Coordinate and supply insurance certificates and bonds based on specific project requirements (including OCIP & CCIP enrollment)., • Provide other required documentation to customers as needed (federal certifications, DIR registrations, license info), • Retain, track and organize the flow of change order documents throughout the project., • Obtain Board of Directors contract approval documentation as required., • Utilize and maintain e-signature platform to issue, track and execute contract documents., • Create subcontract and service provider purchase order templates for projects based on the contract with our customer., • Work closely with project teams to issue subcontracts in a timely manner (10 business days from requested subcontract), • Retain, track and organize all contractual documents with our subs, including subcontracts, change orders, and insurance., • Assist with updating Subcontractor Document Tracking on a timely basis and be proactive in collecting outstanding documents so we can pay our subcontractors as we receive payment., • Train and coach, our subcontractors on contractual or regulatory requirements as needed, including federal certifications, insurance requirements, state certifications, etc., • Utilize and maintain an e-signature platform to issue, track and execute subcontract documents., • High School Degree/GED/Equivalent, • 2+ Years in contract/accounting environment, • Construction Industry a plus, • Strong attention to detail and ability to prioritize, • Excellent customer service skills, • Knowledge of systems; Spectrum, Procore, Adobe E-Sign $30/hour - $35/hour Royal is proud to be an equal opportunity workplace.
