Job Description Project Manager — Custom Fabrication & Event Builds Location: Austin, TX Employment Type: Full-Time About Art Seen Alliance Art Seen Alliance is a full-service event production and creative fabrication studio based in Austin, Texas. We design, fabricate, and install unique event environments, scenic elements, brand activations, public art, and one-off creative builds. Our work blends artistry, engineering, and production, and we’re looking for a Project Manager who thrives in a collaborative, fast-moving, hands-on creative environment. Position Summary We are seeking an experienced Project Manager to oversee custom fabrication and event build projects from estimate through installation. This role supports our shop, creatives, and clients by coordinating timelines, assigning resources, managing materials, and ensuring the final product meets ASA’s standards for quality and craftsmanship. Candidates should have hands-on fabrication knowledge, strong communication skills, and experience coordinating diverse creative and technical teams. Key Responsibilities Project Management & Coordination * Lead projects from scoping and estimating through fabrication, installation, and strike. * Serve as the communication hub between clients, designers, fabricators, subcontractors, event producers, and suppliers. * Provide regular updates to internal teams and clients, ensuring everyone has the information needed to stay aligned. * Communicate changes, scope adjustments, and cost or timeline impacts promptly and clearly. * Coordinate with subcontractors and vendors on specialty components, outsourced fabrication, or field work. Estimating, Planning & Materials * Create accurate estimates by calculating labor hours, materials, fabrication techniques, and installation needs. * Translate creative concepts and drawings into actionable production plans and schedules. * Order materials, track deliveries, and maintain communication with suppliers to ensure components arrive on time. * Make informed decisions about material selection based on project goals, structural needs, and fabrication methods. Production Oversight * Work closely with shop leads to schedule tasks and assign staff based on skill sets (carpentry, metal, paint, CNC, etc.). * Maintain quality control throughout fabrication, finishing, and installation. * Identify risks early and adjust resources and timelines to keep projects on track. * Support onsite installations, coordinating logistics and ensuring safe, efficient execution. Scheduling & Software * Maintain detailed project timelines using project management tools and Google Calendar. * Organize documents, drawings, estimates, and communication in Google Drive. * Use PM software, Gantt Charts or similar to track tasks and milestones. * Bonus: Familiarity with Rhino for reviewing or communicating build concepts. Required Technical & Fabrication Knowledge Candidates should have working familiarity with multiple fabrication disciplines, including: * Carpentry & scenic construction * Welding & metalworking * CNC routing workflows * Painting & finishing * Foam carving & sculptural fabrication * Vinyl application & graphics * LED integration and basic wiring (Expert-level skills are not required, but you must understand how these processes work to plan and estimate effectively.) Soft Skills & Relationship Management * Clear, proactive communicator who can collaborate with creatives, fabricators, clients, vendors, subcontractors, and producers. * Able to give and receive direction in a fast-paced, changing environment. * Professional, solution-oriented mindset with strong follow-through. * Able to balance creative vision with practical execution and budget. Qualifications * 3+ years of project management experience in fabrication, event production, experiential, construction, or manufacturing fields. * 3+ years of hands-on experience with carpentry and/or metal fabrication. * Strong organizational and leadership ability. * Skilled at managing multiple stakeholders and competing deadlines. * Strong estimating, budgeting, and documentation abilities. * Familiarity with reading drawings, build plans, and technical specs. Requirements * Positive attitude and the ability to troubleshoot challenges under tight deadlines. * Valid driver’s license. * Ability to stand, sit, or walk for extended periods and lift up to 50 lbs. * Willingness to work weekends, evenings, or outdoor conditions as project needs arise. Work Environment * Combination of office, fabrication shop, warehouse, and on-site installation work. * Fast-paced environment requiring adaptability and clear communication. * Local or overnight travel for installations or client coordination. * We are a 24 / 7 business, including nights, weekends & holidays; hours will fluctuate with project schedules, but the general timing for this hire will be Monday through Friday, 9am-5pm; some weekend and evening work may be required.
