Job Description The mission of the distribution team is to deliver the right medication to the right patient at the right time. The Distribution Supervisor ensures the completion of this mission, and is responsible for overseeing daily delivery operations for Landmark Infusion, ensuring that all medications and supplies are delivered accurately, safely, and on time. This role manages the delivery team, coordinates logistics, maintains inventory and warehouse organization, and ensures compliance with all regulatory and quality standards. This position requires a Monday–Friday schedule beginning at 10:00 AM and continuing through the end of daily business operations with availability on the weekends and on-call. The position will perform a variety of functions: 1. Accuracy & Quality Control • Implement a system of quality control that allows for proper packaging, labeling, and delivery to patients, • Implement and monitor quality control processes for all distribution activities, • Ensure all deliveries meet accuracy, timeliness, and compliance standards, • Investigate, document, and resolve distribution errors or incidents, • Maintain precise records in Landmark systems, • Ensure all documentation, both written and digital, is complete, accurate, and timely 2. Leadership & Team Management • Supervise, schedule, and support the delivery team to ensure efficient daily operations, • Train new employees and provide ongoing coaching, feedback, and performance management, • Foster a positive, accountable, and team-oriented work environment, • Ensure staff adherence to company policies, safety standards, and regulatory requirements, • Manage staffing needs and support cross-functional collaboration with pharmacy and clinical teams 3. Delivery Operations & Logistics • Plan and optimize daily delivery routes to maximize efficiency and timeliness, • Oversee daily delivery execution until all routes are dispatched, • Step in to perform deliveries as needed using a company vehicle, • Prepare and verify delivery packages to ensure accuracy and completeness, • Communicate proactively regarding delays, shortages, or delivery issues, • Maintain accurate delivery documentation and route paperwork 4. Inventory & Warehouse Management • Maintain inventory levels of distribution and sterile compounding supplies, • Coordinate with the Inventory Manager on ordering and stock replenishment, • Oversee organization, cleanliness, and efficiency of the warehouse and delivery areas, • Assist with loading and unloading incoming freight, • Support proper storage and handling of refrigerated medications and supplies 5. Third-Party Vendor & Courier Management • Build and maintain strong relationships with courier partners (e.g., FedEx, UPS, and local services), • Coordinate shipping logistics and ensure timely outbound deliveries, • Monitor vendor performance and address service issues as needed, • Communicate effectively with external partners to resolve delivery challenges 6. Patient & Customer Communication • Ensure drivers contact patients to provide delivery updates and estimated arrival times when needed, • Confirm all required paperwork is completed and communicated at delivery, • Collaborate with clinical and operational teams to address patient needs or concerns, • Uphold strict confidentiality and HIPAA compliance for all patient information, • Maintain a high level of professionalism and customer service in all interactions 7. Fleet & Facility Oversight • Ensure proper maintenance, cleanliness, and readiness of company vehicles, • Monitor vehicle usage and report maintenance needs, • Maintain a clean, safe, and organized work environment, • Experience managing a delivery, logistics, warehouse, or similar team, • Strong attention to detail and commitment to accuracy, • Ability to manage multiple priorities in a fast-paced environment, • Ability to work the required schedule including evenings and weekend on-call rotation, • Excellent communication and problem-solving skills (bilingual Spanish a plus), • Strong computer proficiency and ability to learn internal systems, • Analytical skills to resolve logistical and operational challenges, • Valid Texas Driver’s License with a clean driving record, • Home infusion experience is a plus but not required JOB SPECIFICATIONS: Must be able to communicate proficiently in English, bilingual Spanish a plus. Requires valid Texas Driver License and clean driving record. SUPERVISORY DIMENSIONS: Delivery Team EXTERNAL CONTACTS: Courier contacts, nurses, therapists, patients, visitors, family members, caregivers, health care facility employees and the general public. INTERNAL CONTACTS: Coworkers, clinical staff and operational staff. EXPOSURE TO CONFIDENTIAL INFORMATION: Patient information, medical records, confidential correspondence, marketing strategies, goals and objectives, pricing structures, and policies and procedures associated with Landmark Healthcare operations are considered proprietary and confidential. No patient record may be removed from the office. All paperwork will be concealed from sight while in employee possession. PHYSICAL REQUIREMENTS: Requires hand-eye coordination and manual dexterity. Must be able to squeeze, grasp, grab, reach, pull, press, lift, bend, sit, stand, walk, climb stairs, squat, kneel, and have full mobility. Such activity involves the aforementioned activities on a repetitive basis and for durations that vary in length. The position also requires heavy use of computer and office equipment. Lifting of items of up to 50 lbs. alone, and heavier with assistance.
