We are seeking a highly organized, reliable, and proactive Personal Assistant to support a Behavioral Intervention Specialist Level II working with Empower WNY. This role involves both personal and professional assistance, ensuring seamless daily operations, handling errands, communication, and light financial tasks. The ideal candidate is detail-oriented, discreet, and capable of managing multiple priorities with minimal supervision. ⸻ Key Responsibilities: Day-to-Day Administrative Support:
• Manage and organize daily schedules, appointments, and calendar entries.
• Coordinate meetings, therapy sessions, and professional engagements.
• Take accurate notes or minutes during meetings (if required).
• Draft, proofread, and format correspondence, reports, and documentation.
• Serve as the first point of contact for clients, stakeholders, and internal teams. Errand Running & Personal Support:
• Run personal errands such as shopping, dry cleaning, pick-ups, and drop-offs.
• Manage personal appointments and reminders (doctor, wellness, etc.).
• Assist with organizing household or personal affairs as needed.
• Handle travel arrangements (booking flights, transportation, accommodation). Communication & Coordination:
• Screen calls, emails, and other forms of communication, prioritizing responses.
• Relay important messages and follow up on delegated tasks.
• Liaise between the Behavioral Intervention Specialist and clients, parents, therapists, and Empower WNY teams. Financial Support & Transactions:
• Send and receive payments on behalf of the company and supervisor.
• Reconcile petty cash and maintain accurate records of expenses.
• Prepare expense reports and monitor budgets for errands or project support.
• Assist in managing invoices, vendor payments, and reimbursement requests. Confidentiality & Professionalism:
• Maintain strict confidentiality with sensitive behavioral health data.
• Uphold Empower WNY’s mission and values in all interactions.
• Ensure compliance with HIPAA and internal data protection policies. ⸻ Preferred Qualifications:
• Proven experience as a personal assistant, executive assistant, or administrative coordinator.
• Strong understanding of professional conduct in a behavioral health or nonprofit setting.
• Excellent organizational and time-management skills.
• Strong communication (written and verbal) and interpersonal skills.
• Proficiency in Microsoft Office Suite, Google Workspace, and digital payment apps.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• Valid driver’s license and access to reliable transportation.
