Learn more about Campbell & Company on our website: The Position: Each service line at Campbell & Company is supported by a Project Administrator who is an integral member of the team, supporting the administrative and project management work that makes our partnerships with nonprofit clients smooth, efficient, and effective. The daily responsibilities of a Project Administrator vary depending on the service line they support, and a keen interest in understanding the team's work will be highly beneficial. In addition to handling administrative duties, the Project Administrator partners with the team throughout the entire project life cycle to ensure smooth and efficient project execution. This role will support the Communications service line as well as certain members of the Fundraising practice. This role also includes some office management responsibilities related to the daily operations of our Seattle office, such as helping to maintain a well-functioning work environment and serving as the primary point of contact for office-related needs. The person in this role is expected to work onsite in the Seattle office at least two days per week. This is a salaried, exempt position Responsibilities: The Project Administrator will have the following responsibilities: Project Support and Administration • Partner and problem solve at a high level with consultants as they manage and navigate client projects., • Support project activities to ensure that projects are completed on schedule, • Assist with building and maintaining project timelines, tracking staffing assignments, monitoring tasks and due dates., • Support the business development process; review cost calculations, update opportunities, proof/finalize agreements and route them for approval, • Enter, update and report on data in various systems (e.g. Salesforce, Klient etc. ), • Assist with developing client facing documents (agendas, memos, presentations, etc.), • Schedule and manage meetings for multiple stakeholders with complex schedules, • Conduct regular check-ins with each team member to serve as an accountability partner, understand current workloads and plan pipelines, support timeline management, and track both client-facing and internal assignments and due dates., • Provide complex calendar and scheduling support for relevant service line team members, • Manage and monitor the team SharePoint site, website, and client folders., • Complete other administrative projects as assigned, which may include participating in implementing new technology and resources and helping to redesign systems and processes., • Assist with improving or developing policies, procedures, and guidelines, which may include researching best practices, drafting clear protocols, and regularly communicating updates to management, • Oversee day-to-day Seattle office activities including ordering supplies and equipment, ensuring the office space is organized and presentable, and serving as the primary point of contact with building management and security Qualifications: The ideal candidate will possess most of the following qualifications: • 3+ years of progressive experience in an administrative and/or project support role or similar, • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) required, • Experience with Salesforce and/or other CRM systems a plus, • Experience with project management software and tools a plus, • Flexibility and the ability to shift priorities quickly based on the needs of the team, • Ability to manage up effectively and hold team members accountable to relevant timelines and deliverables, • Rigorous attention to detail, • Excellent written and verbal communication skills, • Proactive and driven, • Excellent time management skills and the ability to manage multiple priorities and deadlines in a fast-paced environment Compensation and Benefits: The salary range for this position is $73,000-78,000/year.
