JLA serves thousands of individuals and families each month through early childhood education, camps, aquatics, wellness programs, cultural experiences, and community gatherings. Rooted in Jewish values and tradition, JLA is a welcoming community hub serving the diverse communities of Los Angeles and working to strengthen connection, belonging, and Jewish life across generations. We are seeking an exceptional Executive Assistant to the CEO to join the Executive Office. The Executive Assistant works closely with the CEO and senior leadership at the center of organizational decision-making while supporting Board engagement, donor relationships, leadership communications, and key initiatives shaping the future of JLA. The role interacts regularly with Board members, philanthropists, and community leaders and requires professionalism, discretion, and sound judgment. The ideal candidate is highly organized, proactive, and thoughtful, with the ability to anticipate needs and operate effectively in a fast-moving nonprofit environment. Key Responsibilities Executive & Administrative Support • Manage the CEO’s complex calendar, including leadership meetings, Board engagement, donor meetings, and community commitments., • Coordinate scheduling, travel, and logistics to ensure the CEO’s time is used strategically and effectively., • Prepare briefing materials, background documents, and talking points for meetings, presentations, and public engagements., • Draft and edit executive correspondence including emails, notes, and leadership communications., • Track priorities, action items, and follow-ups to ensure timely execution of decisions and initiatives., • Provide hospitality elements to all visitors of the CEO and follow ups from meetings held outside the J including gifts, food, beverages, etc., • Handle confidential and sensitive information with the highest level of discretion. Development & Communications Support Responsibilities include: • Supporting donor engagement and stewardship activities including meeting coordination, follow-ups, and preparation of briefing materials., • Assisting with preparation of donor correspondence, acknowledgement letters, and cultivation communications., • Maintaining records of donor interactions and tracking development-related tasks in coordination with the development team., • Helping coordinate donor meetings, cultivation events, and community gatherings involving the CEO and Board members., • Supporting preparation of fundraising presentations, proposals, and donor materials.Coordinate with the marketing and communications team to ensure alignment between leadership initiatives and external messaging., • Support preparation of materials related to community events, leadership engagement, and development outreach. Board Relations & Governance Support • Coordinate Board and committee meetings, including scheduling, materials preparation, and follow-up., • Take or process notes from meetings for distribution to leadership and Board Members, • Maintain organized records related to Board governance, meetings, and resolutions., • Support preparation of Board packets, reports, and presentations in collaboration with leadership. Organizational Coordination & Special Projects • Coordinate communications across departments to support executive initiatives and organizational priorities., • Support preparation and dissemination of executive communications, announcements, and materials., • Ensure timely follow-up on action items and commitments., • Assist with special projects, research, and data gathering as assigned., • Support planning and coordination of executive-level events, meetings, and organizational initiatives., • Maintain organized filing systems (digital and physical) to support Executive Office efficiency., • Provide backup support for office operations as needed. What Success Looks Like in the First Year In the first year, a successful Executive Associate will: • Establish a highly organized and proactive system for managing the CEO’s schedule, priorities, and follow-up so that key initiatives move forward smoothly and consistently., • Strengthen the rhythm and preparation of Board meetings by ensuring materials, logistics, and follow-up are organized and delivered with professionalism., • Support the CEO’s engagement with donors and community leaders by helping coordinate meetings, preparing briefing materials, and ensuring thoughtful follow-up., • Become a trusted internal point of coordination between the Executive Office and JLA’s leadership team., • Improve systems for tracking information, communications, and priorities so that the Executive Office operates with clarity and efficiency. Qualifications • 5+ years of experience supporting senior leadership in a fast-paced professional or mission-driven environment., • Exceptional organizational and time-management skills with the ability to manage multiple priorities simultaneously., • Strong written and verbal communication skills., • High level of discretion and professionalism when working with confidential information., • Ability to anticipate needs, solve problems proactively, and operate with minimal supervision., • Comfort interacting with senior leaders, donors, Board members, and community stakeholders., • Strong proficiency with modern productivity tools and comfort managing information, documents, and communication across multiple platforms., • Experience in a nonprofit, community organization, or mission-driven environment is strongly preferred., • Familiarity with Jewish communal life, culture, or nonprofit organizations is valued, though candidates of all backgrounds who are excited about strengthening Jewish community in Los Angeles are encouraged to apply.
