Bilingual Leasing Administrative Assistant / Property Management Growing Property Management Company looking to hire full-time BILINGUAL LEASING ADMINISTRATIVE ASSISTANT that speaks English and Spanish. Performs functions related to the leasing of the apartment community. Responsible for functions related to maintaining a high and stable occupancy of the property. Essential Job Functions • Must come to work every day and be on time. Must maintain a professional image and attitude in keeping the objectives of the company and the residents’ welfare. Must be able to take direction from supervisors and be able to maintain positive relationships with management and non-management associates., • Maintains courteous and continuous communication with associates, residents and applicants. Communicates with residents regarding questions and concerns and takes steps to resolve issues or refers them to appropriate associates. Answers multi-line telephone promptly with excellent phone etiquette, and provides friendly, helpful service to applicants and residents in a courteous manner. Must be able to handle multiple phone calls at one time., • Conducts self in a professional and respectful manner towards residents and prospective residents. Practices policies and procedures to function in accordance with the division motto of “Exceptional Service is Our Standard.”, • Meets with prospective residents, identifies their housing needs, and interviews them to determine eligibility based on established criteria. Shows vacant units or schedules Open Houses with property onsite managers. Quotes established rental rates and promotions. Makes follow-up calls, sends follow-up literature and pursues rental status. Collects funds related to applications, security deposits and rentals., • Completes applicant screening process and prepares appropriate correspondence based upon the result., • Prepares leases and related leasing addendums. Maintains lease records and files. Maintains property waiting list and other updates to various records and reports in accordance with policy and procedures, applicable affordable housing programs and HUD/Agency regulations., • Publishing and maintaining various reports in Excel (maintenance log, rent ready lists, site maintenance reports, etc.), • Updates periodic Leasing Report for specific properties for the Leasing Department., • Ensures apartments are ready for occupancy by arranging inspections of units, and handling last minute touches when necessary. Distributes keys, move-in package, and other appropriate paperwork at time of lease signing., • Maintains current knowledge of marketing and leasing techniques. Maintain updated and accurate advertisements. Strives to attain affirmative marketing goals. Seeks out new residents through outreach, direct marketing, cold calling, distributing literature and contacting government, social, religious and community organizations in selected target areas. Maintains current knowledge of apartments, building amenities and local agencies or attractions of interest to residents., • Maintains awareness of current rental rates and promotions of competitive properties., • Maintains current knowledge of and ensures compliance with all applicable state and local laws, particularly regarding resident-landlord relations and all applicable fair housing laws., • Composes notices, letters and other correspondence to customers and vendors, • Prepare necessary paperwork to process Evictions., • Correspond with tenants, liase with attorney and track eviction process., • Experience with Eviction court appearances a plus., • Maintaining Outlook office attendance calendar Meetings and Visitors, • Works with the Maintenance Department to respond to tenant telephone call, letter and requests for information and repairs; handles the more complicated tenant requests., • Assists in preparing paperwork for evictions and other legal processes., • Performs other related functions, as assigned. Requirements: • Skills and abilities normally associated with completion of high school or GED equivalency required., • Knowledge of property management leasing and/or sales gained through formal education or on-the-job training., • Minimum 2 years sales and/or leasing experience a plus., • Excellent oral, written and interpersonal communication skills. Bilingual Spanish/English a must., • Attention to detail and good mathematic skills. Works output should be organized, clean and polished, • Very strong computer skills including Microsoft Office (Word, Excel and Outlook) and Quickbooks., • Dependable, flexible, learns quickly, anticipates needs with HIGH LEVEL of initiative, and is capable of handling a diverse workload and multiple tasks with accuracy under minimal supervision., • Self-motivated and wants to contribute towards overall departmental success., • Ability to work with a wide variety or personalities and foster an environment of team work., • Extremely detail-oriented with the ability to handle multiple tasks in a calm and efficient manner; able to finish tasks without frustration, at times when there are constant disruptions, • Ability to take ownership of the position and work with minimal supervision, • Pro-active: take initiative to suggest more efficient systems when necessary, • Extremely organized and enjoy administrative work. Strong sense of urgency with exceptional follow-through skills and ability to work in a fast-paced environment., • Flexible and adaptable.
