POSITION SUMMARY The Senior Property (SPM) is responsible for the day-to-day leadership and operation of 1020 Spring (Spring Quarter), executing the Owners’ approved property budget plan and long-term strategic objectives for the property. This is achieved through the efficient balance of tenant and owner relations, financial budgeting, and expense controls, building and grounds maintenance, risk management, and all other operational aspects of the property in compliance with the highest standard of professional real estate management ethics. ESSENTIAL ROLE REQUIREMENTS MANAGEMENT • Hire, manage and professionally develop the site team consisting of an Assistant Property Manager, Tenant Services Coordinator, and several building engineers., • Competitively bid and manage service contracts, repair work, consultants, etc., • Monitor physical condition of property through inspections of both occupied and vacant spaces., • Work cooperatively with tenants of the building to ensure the office operations meet the highest level of service, efficiency and safety for tenants and guests, • Oversee the retail component of the entire Spring Quarter project., • Oversee parking operator as well as valet operations., • Review and approve preliminary space plan and construction drawings of prospective or existing tenants, preliminary pricing, drawings, and checklists by an approved general contractor. Once approved, review/edit proposed changes as it relates to lease terms, construction, contractor and tenant payments, and construction management fees in conjunction with property management team., • Oversee the events, film, photography opportunities for the property., • Properly maintain all property records including leases, license agreements, service agreements, MSDS, FF&E, Life Safety, and other building-related records., • Create/implement Business Continuity, Disaster Recovery, Plans, Fire Life Safety, Crisis Management Plans & oversee training. LEASE ADMINISTRATION • Calculate and bill CAM, CPI, utility billing, tenant service reimbursements, etc., • Maintain accurate, up-to-date lease files both electronically and in paper files., • Administer default/eviction proceedings as necessary using appropriate legal counsel., • Assist Asset Manager with refinancing as necessary, preparing/collecting estoppel certificates. FINANCIAL / BUDGETING • Create annual property budget plan., • Administer payment of invoices property ensuring timely, accurate payments and proper building allocations., • Collect rent and any other moneys due from customers or contractors. Monitor accounts receivables and send late notices or default letters as required., • Track monthly expenditures and prepare monthly variance reports., • Prepare budget reforecasts as required with an emphasis on accurate repairs & maintenance, cleaning and non-recoverable expenses. COMMUNICATIONS / CUSTOMER SERVICE • Keep Owners informed as required by the Management agreement on any issues which impact the building or building owners’ employees., • Assure quick and efficient resolution and follow-up on all customer service requests., • Solicit customer feedback on services through annual survey., • Keep tenants informed on building or midtown/downtown issues which may impact their business., • Plan and implement Tenant Retention events to generate goodwill among tenant facility coordinators and building occupants., • Represent Portman and 1020 SPRING at Central Atlanta Progress, Midtown Alliance and other midtown/downtown organizations pertinent to the buildings’ operations., • Stay current on industry trends by attending BOMA and other industry events, seminars and reading trade articles., • Plan and implement community events such as annual holiday food drives, as well as opportunities presented by all partners in Spring Quarter, providing the building and its occupants with opportunities to support local charitable agencies. SKILLS AND QUALIFICATIONS • Self-directed with the demonstrated ability to successfully open and manage a Class AA office building, • Detail oriented with a high degree of accuracy, • Creative thinker with ability to find solutions to problems, • Emotionally intelligent with proven ability to make sound decisions under pressure, • 10+ years industry-related experience required, • Bachelor’s Degree in Commercial Real Estate, Business, Accounting strongly preferred, • Georgia Real Estate Salesperson License - required, • BOMI - RPA designation (Real Property Administrator) - preferred, • IREM – CPM (Certified Property Manager) designation - preferred Portman is deeply committed to building a workplace and global community where inclusion is not only valued but prioritized.
