Job Description/Summary The Student Services Administrator performs advanced administrative oversight and support where results are timely, high quality and accurate. Responsible for the administrative coordination, projects, and support for Dean of Students Office (DOS). Under the guidance of the Dean of Students, management of the Student Government Association (SGA), Registered Student Organizations (RSO or Clubs), Commencement and White Coat Ceremonies. Triaging student requests related to university policies and procedures. The Student Services Administrator and Assistant to the Dean of Students supports or directly responsible for the following: • Maintains a positive work environment by conducting oneself and communicating in a manner that is conducive to promoting an atmosphere of cooperation with students, staff, faculty, and administration., • Strong organizational, interpersonal, written, and oral communication skills are essential. High digital literacy. Strong proficiency in Microsoft office suite software., • Planning and supporting events:, • Project manager of events for the Dean of Students Office, such as Commencement Ceremonies, White Coat Ceremonies, which will include, but is not limited to:, • Managing the ceremony script and program booklet., • Communicating with students, faculty, and staff., • Coordinating catering, A/V needs, venue rentals, regalia or white coat preparation, event RSVPs., • Collaborating with other departments such as Career Services, Alumni, Registrar., • Setting up and clearing out event spaces, • Commencement week accompanying events, • Supports other university events assigned, such as: New Student Orientation as it relates to the Dean of Students Office, • Serves as the primary point of contact for students, staff and faculty for the Dean of Student’s Office and performs a variety of administrative support activities for the Associate Dean of Students including, but not limited to:, • Must be student-centered, possess strong decision-making and problem-solving skills, and be able to work effectively with a diverse student population and other stakeholders., • Screening incoming DOS correspondences and directing them to appropriate staff or departments., • Maintains DOS Outlook calendar, • Tracks records and collects data for all DOS related services and activities., • Assists Accessibility Office with test proctoring as needed., • Prepares agendas, participates, and takes minutes in a variety of committee meetings, as assigned., • Reconciling budgetary accounts and credit card documentation for the Dean of Students., • Maintaining and organizing files and sensitive documents both physical and electronic, related to projects and processes required under the office of the Dean of Students., • Assisting in annual revisions of the Student Handbook and assigned Course Catalog sections., • Assisting in the coordination and preparation of necessary documentation for accreditation agencies, i.e., Council on Naturopathic Medical Education (CNME) and the Higher Learning Commission (HLC)., • Aid in managing the MySonoran information for the Dean of Students Office., • Serves as the primary point of contact for RSOs/Clubs., • Act as first point of review for Business Office forms for the RSOs/Clubs, including check requests and reimbursements., • Assist student clubs regarding budgets and financial accounts, assists with budget development, processes invoices and purchase orders, and ensures proper financial procedures are followed., • Act as first point of review for Event Request Form submissions and guide students through the protocol for planning events according to university policy., • Register new RSOs/Clubs., • Assist students in planning, promoting, and executing a wide variety of social, cultural, educational, and recreational events. This involves processing necessary paperwork, contracts, and logistics (e.g., room reservations, vendor packets)., • Monitor and encourage RSOs/Club engagement., • Develop and implement improvements to RSOs/Clubs, as needed., • Supports the Dean of Students in the administration of the student conduct process, including generation of inquiry letters, updating tracking documentation, keeping Dean of Students or designee appraised of conduct deadlines, etc., • May provide administrative support to Sonoran University’s Accommodation office, and coverage assistance for the Lim Commons Welcome Desk., • Follows department operating procedures, actively participates in collaborative environments, works cross-departmentally and out of normal scope of practice when needs arise, • Actively engage in professional growth activities and events to advance inclusive excellence by being a lifelong learner and innovator., • Possesses a growth mindset with a willingness to embrace innovative techniques and inclusive excellence practices; fosters a sense of belonging and establishes a welcoming environment for all individuals., • Be committed to improving and striving for inclusive excellence while engaging in your role., • Other duties as assigned. Experience Required: • 2–3 years – demonstrated experience providing high-level administrative support in a fast-paced, service-oriented environment, • 2 years – experience planning and executing large-scale events, including coordination of vendors, communications, logistics, and cross-departmental collaboration, • 1–2 years – experience working directly with students, including responding to student needs, problem-solving, and guiding them through university policies and procedures, • 1–2 years – experience managing shared calendars, meeting agendas, and handling sensitive documents with discretion and professionalism, • 1 year – experience tracking data or maintaining records related to student services, conduct processes, or departmental activities, • Demonstrated experience managing competing priorities, multitasking, and remaining detail-oriented under tight deadlines, • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, SharePoint), with high digital literacy and ability to learn new platforms (e.g., student information systems, intranet portals) quickly and independently, • Preferred: Experience working with student organizations or clubs in a higher education setting, including event coordination and budget support, • Preferred: Familiarity with FERPA, ADA, or other higher education compliance frameworks .Education Requirements: Minimum Education/Certifications Associate degree with a minimum of 5 years’ experience in an administrative role within an institution of higher education Desired Education/Certifications Bachelor’s Degree in a field related to area of assignment, work experience within an institution of higher education, especially with student-facing responsibilities Work Schedule This is a full-time, exempt (salaried) position. Standard working hours are Monday through Friday, scheduled during Sonoran University’s institutional operating hours. Some responsibilities and events may require attendance outside of regular hours, including evenings or weekends. This is a hybrid position, allowing for remote work from a home office setting (with limited distractions) up to two days per week, with prior approval from the supervisor. Hybrid work may not be authorized until onboarding is complete, and some weeks may require full on-campus presence based on event schedules or student support needs. Working Environment Work is performed in a climate-controlled office and cubicle setting, with extended periods of sitting, typing, and using a computer mouse. The position also requires standing for varying lengths of time and walking moderate distances across campus. Frequent bending, reaching, lifting, pushing, and pulling of materials up to 25 pounds may be required. This role involves managing shifting priorities, resolving conflicts, and responding to time-sensitive needs. Effective verbal and written communication is essential for performing core functions, including student-facing and cross-departmental interactions.
