Summary/Objective The Facilities and Administrative Coordinator plays a pivotal role in ensuring the smooth daily operations of the office while providing high-level administrative support to senior leadership. This individual will assist with planning and executing office events, managing administrative tasks, and maintaining an organized office environment. The role requires a proactive, highly organized professional capable of handling both logistical and administrative responsibilities, including travel coordination and calendar management for senior leaders. Requirements Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Deliver outstanding customer service to internal team members, serving as a helpful and approachable resource while maintaining a positive, professional demeanor., • Maintain a clean and organized office environment by overseeing the tidiness of workspaces, kitchen areas, and common spaces., • Assist with the planning, coordination, and execution of office events, meetings, and special projects, including virtual and in-person gatherings., • Coordinate logistics for large meetings, training sessions, and events, including AV support, refreshments, room scheduling, setup, and attendee communications., • Provide comprehensive administrative support to senior leaders, including calendar management, travel coordination, and expense reporting., • Prepare and manage itineraries for business travel, including transportation, accommodations, and meeting schedules., • Handle sensitive and confidential information with discretion and professionalism., • Monitor and restock office supplies, including snacks, beverages, and equipment., • Receive and distribute mail and packages; scan, file, and track important documents., • Provide general administrative and clerical support to the internal operations team, including scheduling meetings, preparing reports, and organizing files. Supervisory Responsibility N/A Work Environment This role operates in a professional office environment and routinely uses standard office equipment. This role requires the incumbent to work in person in the Philadelphia office five days a week. This role routinely uses standard office equipment. Position Type/Expected Hours of Work This is a full-time position, and hours of work are Monday through Friday 8:30am to 5pm with a 30-minute unpaid lunch period. Occasional evening and weekend work may be required, as needed, for event management, executive support, and operational needs. Flexibility in schedule is expected to accommodate business demands. Travel Approximately 5% travel expected. Required Education and Experience • Punctuality and timely attendance to external client and internal stakeholder needs., • At least one year of experience in a related role., • Able to lift office products and supplies, up to 25 pounds., • Comfortable learning new technologies. Preferred Qualifications and Experience • College degree a plus but not required., • Strong written and verbal communication skills, with the ability to interact professionally with senior leadership, team members, and external partners., • High level of accuracy in managing documents, travel arrangements, event logistics, and office operations., • Proficiency in Microsoft Word and PowerPoint, with intermediate knowledge of Excel., • Strong ability to anticipate issues and take initiative to find efficient solutions., • Proven ability to anticipate the needs of senior leadership and proactively support them with calendar management, travel coordination, and other executive-level tasks., • Demonstrates a friendly, approachable demeanor with the ability to build strong relationships with internal teams, vendors, and external partners., • Maintains composure and focus in high-pressure situations, demonstrating a positive and adaptable attitude., • Comfortable navigating shifting deadlines, schedules, and priorities, and adaptable to changing office and executive needs., • Capable of handling sensitive information with discretion and professionalism, ensuring confidentiality in all communications and tasks., • Exercises sound judgment in decision-making, especially when managing confidential or time-sensitive matters.
