Job DescriptionDescription: Department: Admin/HR - Onsite Reports To: Administrative Manager Hours Per Week: 40/ 8 am - 5 pm Starting Salary: $17.50 p/h - $19.50 p/h Greetings! As a full-time on-site Administrative and Operations Assistant, you will work closely with the Office Manager and the Assistant Operations Manager. You will apply your tech-savvy skills using multiple platforms to perform monthly software subscription audits and updates, shipping and receiving serialized hardware and software, staging materials and updating projects and tickets, as well as data entry for accounts receivable and accounts payable and other billing functions and front office support fielding the occasional incoming phone call, keeping the office tidy and supplies well stocked. This entry to mid-level role will fit well with someone who enjoys being responsible for a variety of tasks in a supportive role that offers an opportunity to grow in administrative tasks and back up support to the Support Coordinator with fielding and assigning incoming tickets as knowledge increases. In this role you will proactively: • Distribute incoming mail, • Track, document and enter incoming payments in QuickBooks Online (QBO) and collect on past due invoices, • Clear incoming Billing email box: Verify subscription expiration dates, enter vendor invoices to QBO, assist clients with billing questions, • Handle shipping and receiving of equipment including staging for client delivery, • Update entries and notes in project and tickets, • Audit and update data in various systems for accuracy, • Field incoming phone calls, • Run errands as needed for shipping and supplies, • Track and maintain office supplies, • Coordinate facility needs with vendors, • Maintain the office and communal areas, • Stock snacks and office supplies, general office upkeep, • Assist with planning and preparation for employee engagement events, • Update monthly calendar, • Other administrative and operations projects and duties as assigned. Requirements: To thrive in this role you must have: • A minimum of one year of experience (preferably two) with Microsoft office, including Outlook, Excel and Word., • A minimum of one year experience (preferably two) of data entry and the ability to work in multiple software platforms interchangeably throughout the day, • Strong organizational skills with exceptional attention to detail and accuracy, and the ability to create orderly tracking systems, • Basic math skills with a general understanding of the basic principles in accounts receivable, accounts payable and collections, • A team player mindset and ability to switch gears as needed, • Integrity, positive outlook and dedication to dependability, • 401 (K) retirement plan with up to a 4% employer match., • Medical, dental and vision insurance packages with shared premium costs the first day of the month following 30 days of employment., • Generous Paid Time Off accrual (PTO) with scaling rate starting at 0.042 per hour worked with a max of 88, plus an additional 6 paid holidays a year., • Tuition coverage for eligible education and training., • Cell phone reimbursement up to $50.00 per month.
