Job DescriptionDescription: POSITION SUMMARY The Construction Project Coordinator provides day-to-day administrative, technical, and documentation support for federal construction projects to ensure contract compliance, schedule adherence, quality standards, and safety program execution. The role owns document control; facilitates compliant communication; prepares agendas, minutes, logs, and reports; and supports Project Managers, Quality Control (QC) Managers, Site Safety & Health Officers (SSHOs), and company executives with accurate, timely information. Occasional travel may be required to assist the PM and Directors. This position reports to the Program Manager and may support multiple projects at a time. KEY RESPONSIBILITIES Document Control • Establish and maintain the project control plan in accordance with contract requirements, company SOPs, and applicable federal standards, • Maintain current, version-controlled libraries; publish and track bulletins/addenda and ensure field teams have the latest controlled documents., • Keep accurate, audit ready logs and administer permissions, workflows, and metadata in platforms, such as RMS/QCS, Procore, SharePoint, Bluebeam Studio, or similar. Project Personnel Support • Project Managers: Assist with documentation, schedule updates, pay applications, and closeout packages., • QC Managers: Assist with control documentation, reports, and any other project-related updates., • SSHOs: Organize safety meeting records, submittals and other documentation and records., • Executives: Assist with briefing materials, one-page project snapshots, and data extracts for leadership reviews and client meetings. Meeting Agendas & Minutes • Plan, schedule, and facilitate recurring meetings: Project Kickoff, preparatory/initial/follow Up, OAC meetings, subcontractor coordination, safety stand downs, look ahead planning, and closeout., • Prepare and distribute agendas., • Capture accurate meeting minutes with decisions, assignments, and deadlines., • Gathering and processing project documentation including setting up and maintaining job files and obtaining drawings., • Travel as required, up to 15%. Preferred Skills • Experience: Construction industry and agency familiarity with FAR/DFARS, USACE/NAVFAC, VA, GSA, and similar., • Document Control Excellence: Meticulous version control, indexing, and metadata discipline; audit readiness., • Communication: Clear, concise, and professional written/verbal skills; contract appropriate tone and format., • Organization & Time Management: Ability to prioritize across multiple deadlines, keep action items current, and close loops., • Attention to Detail: Zero defect mindset for logs, minutes, and submittal/RFI packages., • Collaboration: Service oriented support approach to PMs, QC Managers, SSHOs, superintendents, engineers, and executives., • Problem Solving: Anticipates information needs, flags risks early, proposes practical next steps. QUALIFICATIONS • Minimum 2 years college, preferably with concentration in architecture or construction management., • Bachelor’s degree in architecture, engineering or construction management is preferred., • Strong technical background in the means and methods of general construction. Experience in multifamily preferred., • Ability to read construction documents, including drawings and specifications., • Requires proficiency with: Microsoft products including MS Project, MS Excel, and MS Word.
