Job Description Position Summary: Community Treatment Teams (CTT) is mandated to provide service to those individuals within the mental health system who present the greatest degree of severity of symptoms as evidenced by their multiple physical, psychiatric and legal conditions; extensive use of services and lack of follow through with treatment. These individuals measure at the highest level of medical necessity as defined by the state Adult Environmental Matrix. The ACT Teams are specialized teams that provide multidisciplinary clinical review and assessment of individuals who may be young adults, heavy users of services or actively involved in the criminal justice system and often have co-occurring behavioral health diagnoses of Mental Health and Substance Abuse. The ACT Clinician provides a comprehensive assessment that offers treatment recommendations. The ACT Clinician provides the appropriate evidence-based therapy to participants on their case load; including but not limited to: Cognitive Behavior Therapy and Dialectic Behavior Therapy. The Clinician, as needed, uses a Harm Reduction, Motivational Interviewing and Individual Integrated Dual Diagnosed approach to engage and work with participants still active in their substance abuse. These services are required to address issues that might present a barrier to participant remaining in the community. The Clinician is also responsible for ensuring that the mission, goals and philosophy of the CTT are operationalized within the team. ACT team staff provides case management supports consistent with the Community Support Program of Philadelphia. One of the ACT Clinicians may be assigned as the Forensic Clinician to act as the liaison with the Courts and Probation office; visit, as required, participants who are incarcerated or on probation, coordinate their discharge and provide treatment as is appropriate. These housing programs are part of the Pathways to Wellness initiative within the Philadelphia Wellness Ecosystem. Services include care coordination, case management, individual and group therapy and psychiatric care for individuals with a history of substance use. Individuals challenged with substance use disorders often struggle with either seeking treatment or attending treatment consistently. This role includes assisting with check-ins, taking vital signs, supporting providers during appointments, and maintaining accurate records. The Medical Assistant helps ensure that each visit runs smoothly, providing compassionate service while supporting the clinic’s focus on high-quality, client-centered care. KEY RESPONSIBILITIES • Welcome clients and help create a calm, supportive, and respectful environment., • Check clients in and out, verify insurance, and update demographic and contact information., • Take and record vital signs, including height, weight, blood pressure, and pulse, as part of routine intake., • Accurately document client information in the Electronic Health Record (EHR)., • Assist psychiatrists, nurse practitioners, and clinicians during medication management or wellness visits., • Manage appointment scheduling, reminders, and follow-ups to support continuity of care., • Track and monitor lab work, medication refills, and health screenings as needed., • Coordinate communication between clients, prescribers, and therapists professionally and confidentially., • Maintain exam rooms and ensure medical supplies are organized and stocked., • Support clients with appointment or medication questions while maintaining appropriate boundaries., • Ensure compliance with HIPAA, confidentiality, and safety standards., • Participate in team meetings and contribute to a recovery-focused, collaborative clinic environment., • Perform other duties as assigned. Our Clinical Services Division provides a range of clinical support services to students in more than 100 non-public and charter schools throughout the Delaware Valley. We are searching for a passionate, mission-driven individual to join our Clinical Department as an Administrative Assistant, Part-time (20 hours per week), 4 hour shifts reporting in-person to the CORA office Monday -Thursday and LEHB on Fridays. This position is responsible for ensuring smooth functioning of services in psychiatry, as well as the LEHB program, within the Clinical Services Division. The Administrative Assistant will be providing support for all clinical programs of Clinical Intake, mostly psychiatry and Law Enforcement Health Benefits. In addition, as an Administrative Assistant III at CORA your duties will include: • Provide administrative support to Agency Psychiatrists:, • Offering in-office support for our psychiatry team., • Schedule/Reschedule appointments for psychiatrists., • Coordinate consults between psychiatrists and treatment teams., • Assist clients in completing necessary intake paperwork for psychiatry services., • Bridge communication between multiple pharmacies & insurance companies., • Submit Prior-authorization forms & medication refill requests as-required., • Assist with letter requests for disability, FMLA, Medicaid & other purposes., • Function as a liaison between psychiatrists & clients., • Verify insurance for all new psychiatry clients., • Discharge clients from Program Enrollment in the EHR system., • Collect and bill weekly for all psychiatry appointments (in-person and Telehealth) for psychiatrists and therapists., • Connect payments from Square to EHR weekly., • Process requests for client services and assist with eligibility determination for intake., • Manage, process, & assign all incoming referrals in Clinical Intake., • Answer & address intake calls for all Clinical programs during hours assigned by supervisor., • Serve in various committees and/or work teams as requested., • Participate in a minimum of 6 hours annually of professional training., • Comply with CORA Services policies and procedures., • Provide back-up coverage for Reception as needed., • 3-5 years of office experience required., • Fluency in Microsoft Office with strong experience with Excel and Access., • Strong experience with web-based data applications, reporting and data manipulation.
