Development Operations and Planned Giving Specialist Location: New York, NY (On-site) Job Type: Full-Time Salary Range: $70,000 – $80,000 annually About the Opportunity A well-established nonprofit human-services organization in New York City is seeking a Development Operations and Planned Giving Specialist to join its Office of Institutional Advancement. This is a vital role that fosters a culture of philanthropy, values the lifetime relationship with donors, and supports a donor-centered approach aligned to the organization's mission and strategic priorities. Working closely with the Senior Director of Development and Planned Giving and the Manager of Development, the Specialist provides integral support to both teams and manages the operational infrastructure for each. The role supports a robust Planned Giving Program and Charitable Gift Annuity Program, collaborates on cross-cutting activities and special projects, and exercises independent judgment in administering planned giving operations, donor stewardship processes, fundraising systems, and departmental workflow management. Planned Giving Administration and Operations • Manage the administration and oversight of planned giving estates, charitable gift annuities (CGAs), and related donor arrangements, including coordination with estate attorneys, executors, financial representatives, and internal stakeholders to facilitate timely, accurate distributions., • Maintain, audit, and evaluate planned giving records and donor documentation to ensure accuracy, completeness, compliance, and alignment with organizational policies., • Administer the Planned Giving module within Raiser's Edge, including data governance, reporting standards, process improvements, and system integrity., • Serve as the primary relationship manager for planned giving vendor platforms (e.g., FreeWill and similar tools), overseeing implementation, workflow coordination, reconciliation of donor intentions, and inquiry management., • Manage planned giving communications and donor inquiries across phone, email, website, and marketing systems, providing guidance on estate giving options and organizational policies., • Develop and maintain planned giving dashboards, KPI metrics, and operational reports to support forecasting, strategic planning, gift tracking, and leadership decision-making., • Monitor legal, tax, and regulatory developments related to trusts, estates, and charitable gift annuities, and recommend operational updates as appropriate., • Coordinate and analyze planned giving surveys and donor engagement initiatives, including strategy execution, response evaluation, and reporting on donor trends., • Collaborate cross-functionally with Development Operations and Finance staff on complex gift administration involving IRAs, donor-advised funds (DAFs), securities, mutual funds, and other non-cash assets., • Contribute to planned giving marketing and donor engagement strategies across print and digital platforms., • Prepare preliminary charitable gift annuity proposals and gift illustration documentation using PG Calc and related tools., • Conduct donor interviews and gather content for stewardship, marketing, and testimonial initiatives., • Perform prospect research to identify planned giving opportunities, including review of estate-related public records and preparation of briefing materials for leadership and donor meetings., • Coordinate and oversee planned giving donor events and stewardship activities, including planning, vendor coordination, volunteer oversight, and logistics., • Participate in process improvement initiatives, departmental planning, and other strategic projects. Development Operations Support • Develop, maintain, and enhance standard operating procedures (SOPs) for Development Operations and Planned Giving functions to improve efficiency, internal controls, compliance, and consistency. Manage the acknowledgement process., • Oversee gift administration processes for major donors, corporations, foundations, and giving vehicles, including IRAs, DAFs, securities, planned gifts, and CGAs, ensuring accuracy, compliance, and timely processing., • Monitor and improve donor stewardship workflows and lifecycle management within Raiser's Edge NXT (RENXT), including proposal tracking, queue management, dashboard creation, and reporting., • Manage data integrity and gift processing functions within Raiser's Edge and related CRM systems, including donor records, appeals, acknowledgments, and data governance. Validate data to support reporting accuracy, donor analytics, and KPI tracking., • Coordinate administrative and operational support for the Development Department, including records management, document workflows, mailings, and departmental logistics., • Collaborate with Development, Finance, and Executive staff on cross-functional initiatives and fundraising strategies., • Streamline administrative operations by designing efficient workflows, establishing best practices, and providing training and guidance on Raiser's Edge and RENXT procedures, reporting standards, and data management., • In partnership with leadership, provide functional oversight to Development Associates, Assistants, temporary staff, and volunteers, including project delegation, workflow coordination, training, and quality review., • Independently manage special projects, process improvement initiatives, and operational analyses in support of departmental priorities. Schedule Full-time, generally 9:00 AM – 5:00 PM, Monday–Friday. Some evening and weekend hours required to meet deadlines and attend events. Working Conditions • Primarily a stationary workstation role using a computer at least 75% of the time., • Travel for outreach, events, and meetings approximately 15% of the time via vehicle or public transportation., • Ability to move and transport documents and event materials, and engage with the public in social environments., • Comfort working under deadlines and project challenges. Qualifications • Bachelor's Degree required; Master's Degree preferred., • 5–7 years of related experience in fundraising and planned giving, and/or equivalent training., • Previous development/advancement experience within a large institutional environment is a plus., • Minimum five (5) years' progressive experience with Raiser's Edge, including creating queries and running reports., • Excellent oral, written, and interpersonal communication skills; works well within a team and liaises effectively with colleagues and vendors., • Strong organizational skills; able to manage a multi-faceted workload and meet strict deadlines in a fast-paced, detail-oriented environment., • Accuracy and attention to detail; discretion and sensitivity handling highly confidential information., • Proficiency researching the giving potential of individuals and family foundations to secure major and planned gifts., • Willingness to acquire working knowledge of various planned gift vehicles., • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher)., • Experience with RENXT, Luminate, Salesforce, MailChimp, Constant Contact, or other CRM platforms, a plus., • Experience with PG Calc, a plus., • Team-oriented development strategist able to respond confidently to simple and complex gift scenarios with excellent donor relations.
