Alloy Automotive Partners Executive Assistant & Chief of Staff Full-time · Hybrid · Based in Carrollton, TX · Reports directly to CEO Alloy Automotive Partners is the platform behind 11 high-end European automotive repair shops. We move fast, we own outcomes, and we're in an active growth phase including acquisitions, new locations, and expanded services. About the role This role exists because our CEO, Ryan Blair, operates at a pace and vision level that requires a force multiplier. Someone who keeps everything moving, nothing slipping, and Ryan focused on the work only he can do. This is not a traditional EA role, and it's not a pure Chief of Staff role. It's both. You'll own Ryan's calendar, inbox, and logistics end-to-end, and you'll also run real projects across the business. The ratio will flex based on what the business needs. What you'll actually do Executive operations • Own Ryan's calendar completely, including scheduling, prioritization, conflict resolution, and protecting his time, • Manage inbox triage, draft responses, and ensure nothing falls through the cracks, • Handle all travel planning, logistics, and prep materials for meetings, • Provide end-of-day briefings and next-day structure so Ryan starts every morning with clear priorities, • Take ownership of business projects and initiatives from start to finish, keeping timelines, communications, and stakeholders on track without Ryan having to manage the details, • Conduct research, compile findings, and organize information into usable formats so Ryan can make decisions quickly, • Draft external communications, content, and materials on Ryan's behalf across a variety of projects and audiences, • Manage vendor, partner, and sponsor relationships for initiatives Ryan is involved in, handling the day-to-day touchpoints so things don't stall, • Coordinate internal projects and initiatives across the Alloy team, • Build and maintain systems that help Ryan and the team stay organized and accountable, • Prep and follow up on external relationships including investor, partner, and vendor communications on Ryan's behalf, • Anticipate what's coming and solve problems before they land on Ryan's plate What makes someone great in this role Ryan is a high-output, visionary leader who moves fast and generates ideas faster than most teams can execute them. You'll thrive here if you: • Get genuine satisfaction from creating order out of chaos, • Follow through without being asked twice, and chase others' follow-through when needed, • Stay calm and solutions-focused when a visionary leader pivots, reprioritizes, or resists doing something they said they'd do, • Write clearly and quickly, including emails, briefs, and content that don't need editing, • Are resourceful: you figure things out, you don't wait for instructions, • Can shift from administrative work to project management to creative tasks in the same day What we're looking for • 5+ years in an executive support, chief of staff, operations, or project management role, • Experience supporting a C-suite executive directly, ideally in a fast-paced, entrepreneurial environment, • Strong written communication skills. You write emails and content that don't need editing, • Proficiency with project management tools (Monday.com a plus) and the Google suite, • Comfortable working in an environment that changes quickly and helping create stability within it, • Comfortable with or curious about AI tools.
