Job Description Job Title: Legal Assistant Reports To: Supervising Immigration Attorney / General Manager FLSA Status: Non-Exempt Summary: The Immigration Legal Assistant provides administrative and clerical support to attorneys and paralegals in the Immigration Department. This position assists with client intake, document collection, preparation of immigration forms, case management, scheduling, and client communications while ensuring exceptional customer service, confidentiality, and compliance with firm procedures. Duties and Responsibilities include the following. Other duties may be assigned. 1. Provides administrative support to immigration attorneys and paralegals, including calendar management, scheduling consultations, interviews, biometrics appointments, and hearings.*, 2. Assists with client intake by gathering information, collecting supporting documentation, and preparing new client files.*, 3. Prepares, organizes, and formats immigration forms, correspondence, and legal documents under attorney supervision.*, 4. Maintains accurate electronic and physical case files, ensuring all client documents are complete, organized, and properly filed.*, 5. Communicates professionally with clients regarding document requests, case updates, appointment reminders, and general case status.*, 6. Assists with filing applications, petitions, motions, and supporting documentation with the appropriate government agencies and immigration courts.*, 7. Tracks filing deadlines, Requests for Evidence (RFEs), interview dates, biometrics appointments, court hearings, and other critical case milestones.*, 8. Requests, reviews, and organizes records and supporting documentation received from clients or government agencies.*, 9. Maintains document management systems, including scanning, indexing, and archiving electronic and physical files.*, 10. Coordinates incoming and outgoing mail, certified mail, courier services, and document delivery.*, 11. Answers incoming telephone calls, directs inquiries appropriately, and provides exceptional customer service.*, 12. Assists attorneys and paralegals in preparing hearing packets, interview packets, and client meeting materials.*, 13. Coordinates translation and interpreter services when necessary.*, 14. Maintains confidentiality of client information and complies with all ethical and professional responsibilities.*, 15. Assists with office organization, ordering supplies, and maintaining an efficient work environment.*, 16. Participates in community outreach events, educational seminars, and firm-sponsored activities as assigned., 17. Performs other administrative and legal support duties as assigned. Supervisory Responsibilities: This position has no direct supervisory responsibilities. Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Minimum of two (2) years of immigration law experience preferred. Experience handling family-based immigration matters strongly preferred. Knowledge, Skills, and Abilities: 1. Excellent organizational and time management abilities., 2. Ability to prioritize multiple active cases simultaneously., 3. Strong attention to detail., 4. Excellent verbal and written communication skills., 5. Professional judgment and problem-solving ability., 6. Ability to maintain strict confidentiality., 7. High level of customer service., 8. Ability to work independently while collaborating with attorneys and staff., 9. Bilingual fluency in English and Spanish is strongly preferred.
