Job OverviewThe Group & Revenue Coordinator supports both the Sales and Revenue teams by ensuring seamless coordination of group reservations, data accuracy, and revenue reporting.Role Responsibilities: • 5-star experience in Reservations, Group Reservations and Group Sales preferred., • Assist the Sales Managers/Sales Directors with researching potential clients, and sending out information to qualified leads, • Proficiency with Property Management Systems (PMS), Central Reservations Systems (CRS), Guest Services systems. Knowledge of HMS, Voice Agent (Synxis), and Delphi., • Highly organized with strong attention to detail; ability to manage multiple tasks and deadlines, • Must demonstrate strong computer skills including Delphi, HMS, CVENT, Demand 360., • Basic understanding of group contracts., • Maintain flexibility in shift availability as needed, based on group patterns and needs., • Keep updated files on all upcoming groups upon receipt of turnover, • Ensure accuracy between the Delphi and HMS (room blocks, planned release dates)., • Detail each Group profile and/or reservation with Group specific information (rate plan, rates, package inclusions, contract concessions etc.), • Create Routing/Auto Transfer according to agreement., • Act as liaison between Group Sales team, Clients, CORE reservations., • Input group rooming list and facilitate all rooming list changes and billing changes upon receipt from Senior Account Services Manager., • Build booking link., • Cross reference group resumes and ensure accuracy., • Provide reservation and pick up reports upon request., • Attend all applicable group meetings (resume, pre-con, post-con). Attend virtually or phone if unable to attend in person, • Assist Sales and Accounting in verifying and correcting group guest’s folios, • Understand all types of reservation streams, channels and sources., • Understand all rate plans, promotions, room types, and ensure they are loaded and inventory is accurate and balanced., • Assist call-in reservations, • Accurate preparation of daily, weekly and monthly revenue reports, • Participate in weekly revenue meetings, • Monitor and analyze competition through shop reports, website shops, • Review and analyze reports such as Agency 360, STR and other measurement tools that, • Assist and cover for DORM, Reservations Manager and Supervisor in their absence, • Understand Synxis – room types and rate plans and assist in managing restrictions, • Build and update rate plan and promotions in HMS and Synxis, • Assist in trouble shooting system issues – Synxis and HMS, • Perform other duties/tasks and projects as assigned by hotel/department leadership, • Must adhere to the appearance and grooming policy., • Comply with Equinox Hotel standards per the team member handbook and as directed by management., • Perform other duties/tasks and projects as assigned. Skills, Education and/or Certification: • Essential:, • Ability to satisfactorily communicate in English (speak, read, write) with guests, co-workers, and management to their understanding., • Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperation and work with a minimum of supervision., • Ability to think quickly and act appropriately in emergency situations., • Perform well under pressure situations, time demands, and work overtime when needed., • Punctuality and regular and reliable attendance., • Interpersonal skills and the ability to work well with co-workers and clients and guests., • Working knowledge of Excel and ability to train as needed, • Strong analytical skills, • General computer knowledge and ability to enter work orders, make notes, etc. or related system., • Ability to work flexible schedule (AM, PM, Overnight, Weekends & Holidays). Desirable: • Minimum four years’ experience of Hotel Experience, with ideally 2 years in reservations, • Knowledge of proper equipment usage and repair., • Bachelors Degree or equivalent vocational training.
